Recruiting Coordinator / Human Resources Administrator
Position Summary
At Charles River Analytics, our Human Resources team works hard to successfully identify, recruit, and hire the best people in the industry, and the Recruiting Coordinator is a key partner in this initiative. Your role as a Recruiting Coordinator is to support our fast-moving and high-volume hiring efforts across all divisions and levels of the Company, while taking every step to provide an exceptional candidate experience.
The successful candidate will also play a key role in important Human Resources functions, including routine administration of employee benefit plans, personnel file maintenance, and new hire onboarding support.
Duties and Responsibilities
Recruiting Coordinator (70%)
- Manage all scheduling and coordination of candidate interviews (telephone, on-site, video, etc.)
- Provide logistical support for on-site interviews, including booking travel arrangements, preparing agendas, ordering lunches, and setting up technology (Web-Ex, Skype, etc.)
- Partner with hiring managers to advertise and promote openings on a range of job boards and social media channels
- Proactively reach out to candidates and interviewers to confirm details ahead of scheduled interview time
- Conduct reference checks and initiate background check investigations as part of candidate offer process
- Assist HR team in identifying passive candidates through effective sourcing techniques
HR Administrator (30%)
- Process basic employee benefit plan transactions
- Carry out main functions related to onboarding of new employees including scheduling orientation and processing paperwork
- Respond to background check, employment, and income verification requests
- Process monthly billings from insurance providers
- Assist in maintenance of employee database and update accordingly with status/demographic changes
- Assist HR team in coordination of Company social events
Required Experience and Qualifications
- Perfectionist with impeccable attention to detail (i.e., your emails are concise and grammatically perfect, your to-do list is prepared the night before, and your spreadsheets are neatly organized)
- U.S. Citizen
- Bachelor's Degree (BA/BS) required; minimum of 2 years’ experience in a support role, preferably in a recruiting or HR department
- Experience in employee benefit plan administration is a strong plus
- Experience with high-volume coordination, scheduling, or administrative work
- Experience with recruiting or HR software (for example, Greenhouse, Taleo, ADP, Jobvite, LinkedIn Recruiter, etc.)
- High level of proficiency with Microsoft Office applications, especially Outlook
- Ability to effectively plan and prioritize tasks in a fast-paced environment
- Outstanding verbal and written communication skills
- Strong problem-solving skills and ability to exercise good judgment independently, but also understanding when to ask for help
- High level of business acumen and discretion with respect to confidential information
- Ability to represent Charles River Analytics professionally at all times
