As our Benefits & Mobility Specialist, you will play a critical role in providing outstanding customer service when it comes to immigration, mobility, and benefits. As the main point of contact for employees relocating and/or needing work visas, you will shepherd each person through the process in an empathetic way, ensuring a smooth and seamless experience. You will collaborate closely with Indigo’s external immigration attorneys to provide guidance to candidates and key external stakeholders, and to ensure proper work authorization is obtained. You will work hand-in-hand with our recruiting team to make sure new hires who are relocating to join Indigo are supported during their transition. And last but not least, you will partner with the Director of People Operations to plan and execute flawless Open Enrollment cycles and other ad hoc benefits projects as needed.

Job description:


You plan and execute Indigo’s Open Enrollment period flawlessly by:

  • Drafting and executing Indigo’s communication plan, with input from Director of People Operations, including:
  • Defining the overall timeline of communications
  • Drafting and sending communication to internal stakeholders and employees
  • Drafting and executing against the timeline of Open Enrollment:
  • Ensuring appropriate meetings are scheduled, key stakeholders are aligned with decisions, and we stay on track for Open Enrollment timing
  • Ensuring all employee changes and system updates happen on time and with 100% accuracy


You ensure employees and candidates requiring work authorization receive outstanding customer service by:

  • Developing strong relationships with Indigo’s immigration attorneys
  • Completing a tracking system of all Indigo employees on visas with next steps and dates outlined
  • Creating communications for visa types that can be sent to candidates, new employees, recruiters, and/or hiring managers to proactively address questions around timelines, next steps, and what to expect
  • Ensuring all visa paperwork and applications are completed accurately and in a timely manner, in compliance with relevant rules and regulations
  • Owning the successful completion of Indigo’s L blanket petition application


You ensure Indigo provides a seamless process for relocating employees by:

  • Collaborating closely with the Recruiting team to ensure a smooth “handoff” and timely relocation process for all relocating new hires
  • Facilitating a smooth relocation process for any current employees moving between Indigo offices
  • Owning the collection of feedback from employees and implementing suggestions to continually improve the employee experience


You also help drive the People Operations team forward by:

  • Assisting with ad hoc benefits projects and initiatives as needed (e.g., MA Paid Family and Medical Leave)
  • Staying up-to-date on changes to employment and immigration laws and regulations, and disseminating information as needed to relevant stakeholders

 The Ideal Candidate:

  • Has experience with benefits administration, including at least one open enrollment cycle
  • Demonstrates knowledge of US immigration laws and visa types, as well as international visas
  • Has professional experience with relocation relationships, both on the vendor side and from an employee perspective
  • Rolls up their sleeves to get things done, including learning new areas within People Operations
  • Enjoys getting into the weeds to solve problems
  • Is extremely process-oriented
  • Demonstrates clear, proactive communication
  • Has a strong desire to be a part of a modern, strategic People Team who views employees as Indigo’s biggest assets
  • Is flexible and agile – embraces change, is solutions-oriented, and functions well in a dynamic ambiguous environment
  • Can anticipate issues and pain points and proactively find solutions
  • Demonstrates natural empathy, especially during times of heightened employee stress regarding work authorization or relocating
  • Experience working for an international company with geographic fluidity amongst its employees a plus

Location

On the edge of Charlestown, we are within walking distance to restaurants and bars. The Sullivan Square T and bus stop is also right next door! We are currently working remote/hybrid with the exception of our fantastic Biotrinsic team who work from the office and lab space here.
