About Kadince

Kadince (pronounced cadence) is a fully remote (must live in the USA) software company founded in 2013. In a nutshell, we build tools to help compliance and marketing professionals at financial institutions do their jobs more efficiently.

Kadince has been profitable for several years (we’re fans of making more than we spend). We’re bootstrapped, which means we don’t have investors. So our owners answer to no one. And they aren’t just giving us commands from their vacation homes waiting to cash their next check. They’re fellow team members and in the trenches with us.

Why We’re Hiring

Our team members are our most important focus. As our customer base grows, so does our team. We need a dedicated HR and Operations Specialist to help us continue giving our team members (and future team members) a wonderful experience at Kadince.

Who We Want to Hire

To be an HR and Operations Specialist at Kadince, you should have 2+ years of experience. This experience has given you a good understanding of core HR processes, team member support, compliance practices, and how to keep people, tools, and tasks aligned in a fast-paced, people-first environment. This position is 80% HR and 20% Operations.

You have a desire to continually learn and improve your HR and communication skills. We love giving team members opportunities to improve their skills, whether through online courses, workshops, or learning from others.

You’re an empathetic person who’s good at connecting with people and making them feel heard. Team members should feel comfortable coming to you with any concerns or questions they may have, and it’s your job to make them feel appreciated and wanted. We care about our team members a lot, and you need to, too.

Our vision, mission, and core values should resonate with you. That’ll be crucial to your success and happiness if you join the Kadince team.

Our Vision and Mission

Our vision and mission aren’t something we hung on the office wall and forgot about. Seriously, we don’t have an office, let alone a wall to hang them on. But our vision, mission, and core values sit on the desks of each of our team members. And we discuss them regularly in our meetings. Your goals (KPIs) will be developed to ensure you’re working to help us achieve our vision and mission.

Our vision and mission are what get us up each morning. They, in addition to our core values, help us make decisions.

Vision - Setting the standard for operating a great software company.

We’re big fans of author Jim Collins and his best-selling book, Good to Great (bonus points if you’ve read it). While there are lots of good software companies out there, we want to be one of the great ones.

The first word of our vision is also significant. To go “high school English class” on you, the present participle “setting” illustrates that we’re not looking to set the standard and then be done, but that the standard is always moving and we’re always chasing it. We continually stop to recognize the awesome things we’ve done and then look for ways to do them even better.

Mission - Building the best software for compliance and marketing professionals at financial institutions.

As Jim Collins taught in his Hedgehog Concept (told you we think he’s great—pun intended), great companies need to determine what they can be the best at in the world and focus on that. There are so many things we could solve as a software company, but we’ve found what we think we can be the best in the world at and we stick to it every day.

Our Core Values

Our core values remind us who we are. They also guide us in the decisions we make. They’re listed in order of importance. If we have a question when making a decision about people, for example, we look to the core value above it to make our decision.

  1. Integrity - We’re honest with ourselves and others.
  2. People - We understand that people are the foundation of Kadince and we act accordingly.
  3. Care - We love what we do and do it consistently and intentionally to the best of our abilities.
  4. Remarkability - We provide remarkable experiences to all who come into contact with Kadince.
  5. Growth - We accept yesterday and improve today.

What a Day in the Life of an HR and Operations Specialist Looks Like

You start your day by reviewing the job applications submitted yesterday. Kadince is growing fast, and we’re hiring for several roles. You thoroughly scan for top candidates, move qualified ones forward, and get interviews on the calendar, ensuring no opportunity slips through the cracks.

With interviews booked, you shift gears to next month’s wellness challenge. You brainstorm ideas, create the Slack post, and schedule reminders, making sure this initiative launches on time and drives strong participation.

Mid-morning, you follow up on a conversation from yesterday’s legal call about updates to state employment laws. You research the issue, verify documentation, and outline an internal action plan. This kind of compliance work doesn’t wait, and you’re expected to move quickly and get it right the first time. Not super exciting work, but you enjoy it all the same!

Slack notifications and emails have been popping up while you work - PTO questions, benefits issues, calendar changes, and onboarding updates. You prioritize and respond thoughtfully, but efficiently. Someone can’t access their benefits portal, so you troubleshoot directly in Employee Navigator and follow up with them to confirm it’s resolved.

Now it’s time for lunch, so you grab your car keys (and your dog!) and surprise your significant other at work with a sandwich and soda. You eat together and talk about your plans for the evening while your adorable puppy runs around the grass and works out his energy.

After lunch, you jump back online to coordinate team-wide annual interviews with the President. You juggle calendars across departments, ensure every meeting has a clear purpose, and follow up to keep things moving. This is a big lift that requires proactive communication and follow-through.

Later, Seth reaches out to get a status update on hiring, training plans, and next week’s team meeting. You’re ahead of the curve, with everything organized and ready to walk through.

Before the day ends, Brady lets you know he’s selected a candidate for the Customer Support Specialist role. You prepare the offer packet in BambooHR and map out the next steps - background check, onboarding checklist, equipment ordering, and everything else that follows once the offer is signed. Exciting!

You wrap up the day by looking at your calendar for tomorrow and planning accordingly. There’s always more to do, but staying ahead of it is what sets you apart. You close your laptop and your office door and run out to greet your puppy with a kiss.

When and Where You’d Work and What You’d Work On

Kadince is a principle-based company, which means we focus on principles, not policies. Since we’re a fully remote company, you’ll speak with Seth, your leader, to determine when and where you’ll work. You’ll also work with your leader each week, month, quarter, and year to determine your goals (your KPIs or key performance indicators) and what you’ll work on.

The principle is to work when and where you want as long as you meet or exceed your KPIs. This may mean planning your day around team meetings or working a longer day because you’ll be out of the office for the next week. Overall, your schedule needs to help you achieve our vision and mission and demonstrate our core values.

At Kadince, work won’t tie you down to one location. You’ll have the flexibility to work remotely and even change locations from time to time. Want to spend a few weeks somewhere new—maybe exploring a different state or another country? That’s totally possible, as long as it’s approved by your leader ahead of time to make sure everything’s good from a legal and tax standpoint. Just make sure that wherever you plan to work has a reliable internet connection of at least 10 Mbps download and 1-2 Mbps upload (as if you would go anywhere without it anyway).

Who You’d Be Working With

We have over 45 team members (which makes us really happy since Kadince was started by two people in their basements). If hired, you’ll probably work with each team member in one way or another. Some of the people you’ll work with most frequently are:

Seth is the Operations & HR Manager, and he helps the executive team with anything they need. Seth is pretty musical and can play the piano, guitar, ukulele, and harmonica. Sometimes he even plays the piano and harmonica together! He says he isn’t too good at that, but we’d like to see a demonstration before passing judgment. Seth loves to try things that challenge him and makes him a better person, and we’ve definitely seen it since he started working here.

Shawna is in charge of accounting. She’s always trying to improve and be the best version of herself, which is constantly coming across in her work. Shawna loves to be out in nature, and especially enjoys hunting rocks like crystals, pyrite, and anything that shines (maybe that’s why her smile is so bright!). If Shawna could do anything, she would spend her days in nature away from the hustle of the world. Then she’d have plenty of time to search for rocks!

Bart, our President and Chief Operating Officer, loves to go mountain biking, trail running, and skiing (seriously, he’s always doing something outside). He loves to beat his past records and continuously improve. Bart is a big fan of baseball and only has five more Major League Baseball stadiums to go before he’s hit them all. Bart has had several different job experiences, including pooper scooper at a cattle auction and KFC head cook.

Benefits

Since we’re a remote company, we don’t offer office snacks and ping pong tables. But if you’re a fan of “core benefits” that bring great rewards and peace of mind, you’ll like what we have to offer. Competitive pay, 401(k) matching, generous paid leave, insurance (medical, dental, vision, life, short-term disability), and a flex spending account. Yeah, it’s pretty great...

And we love to spoil our team. We celebrate big events with you, like birthdays and work anniversaries, so you can expect some pretty fun gifts. We once sent some high-quality lip balm to each team member so we could all play a prank on Scott, our Director of Product. We’re fun like that. And this year we’re giving every team member the last week of the year off (we like to spread holiday cheer).

How to Apply

Applicants who stand out are those who are interested in working for Kadince, not just applying for as many positions as possible or trying to keep unemployment benefits. We’ve seen it all. No kidding, we once had someone ask us in an interview what the name of our company is. Needless to say, we could tell that person wasn’t really passionate about joining our team.

When applying to Kadince, please send us PDFs of your resume and cover letter. The cover letter is your opportunity to tell us why you would be a great fit for the position, but should be no longer than 300 words. Take advantage of this time. Seriously, sell yourself!

Thank you for your interest in Kadince. We look forward to reviewing your application.

This position is open to candidates living in AL, AK, AZ, AR, CT, DE, FL, GA, HI, IA, ID, IL, IN, KS, KY, LA, ME, MD, MA, MI, MN, MS, MO, NE, NV, NH, NM, NC, ND, OH, OK, PA, RI, SC, SD, TN, TX, UT, VT, VA, WV, WI, and WY.

What you need to know about the Boston Tech Scene

Boston is a powerhouse for technology innovation thanks to world-class research universities like MIT and Harvard and a robust pipeline of venture capital investment. Host to the first telephone call and one of the first general-purpose computers ever put into use, Boston is now a hub for biotechnology, robotics and artificial intelligence — though it’s also home to several B2B software giants. So it’s no surprise that the city consistently ranks among the greatest startup ecosystems in the world.

Key Facts About Boston Tech

  • Number of Tech Workers: 269,000; 9.4% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Thermo Fisher Scientific, Toast, Klaviyo, HubSpot, DraftKings
  • Key Industries: Artificial intelligence, biotechnology, robotics, software, aerospace
  • Funding Landscape: $15.7 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Summit Partners, Volition Capital, Bain Capital Ventures, MassVentures, Highland Capital Partners
  • Research Centers and Universities: MIT, Harvard University, Boston College, Tufts University, Boston University, Northeastern University, Smithsonian Astrophysical Observatory, National Bureau of Economic Research, Broad Institute, Lowell Center for Space Science & Technology, National Emerging Infectious Diseases Laboratories
