We’re looking for a highly organized, personable, and proactive HR & Executive Operations Coordinator to join our Employee Success team.  This is a dual-function role that sits at the intersection of HR coordination and executive-level support, and it’s the perfect fit for someone who loves variety, thrives on being a go-to resource, and wants to work closely with both people operations and company leadership.

What You'll Do

  • Support end-to-end recruiting - partner with hiring managers to initiate requisitions, write job descriptions, post roles in Lever and on external job boards, coordinate candidate outreach and interview scheduling, and maintain up-to-date records throughout the hiring process.
  • Own onboarding and offboarding administration from end to end - set up new hires in all relevant systems and tools, coordinate welcome communications and first-week schedules, maintain accurate employee records, and manage offboarding by handling system access removal, distribution list updates, and all related documentation.
  • Lead employee engagement initiatives across the organization - own the monthly Employee Success newsletter, coordinate company-wide events and social programs (trivia nights, games nights, lunch & learns, Coffee Chats), and ensure employees are consistently informed, connected, and celebrated throughout the year.
  • Track and celebrate employee work anniversaries (Copperversaries) and prepare milestone recognition slides for the team.
  • Own employee rewards and recognition from platform administration to program delivery - managing Tango Reward Genius, coordinating all recognition initiatives across the employee lifecycle, and continuously improving how Copper celebrates its people.
  • Maintain employee email distribution groups, adding and removing members as the organization evolves.
  • Own the administrative backbone of the Employee Success function - support payroll operations by handling state agency correspondence, filings, and notices; coordinate engineering service billing submissions to Finance; and ensure all digital records and operational systems are accurately maintained and audit-ready.
  • Serve as the primary calendar owner for the CEO - proactively scheduling, updating, and cancelling meetings; coordinating with external partners, clients, and board contacts; and submitting PTO requests in Rippling on the CEO’s behalf.
  • Serve as a key operational partner to the executive team - own meeting documentation, maintain action item tracking, coordinate follow-ups, and ensure leadership has everything they need to stay organized and aligned between sessions.
  • Own end-to-end coordination of all standing company-wide meetings - including the Weekly Playback (all-hands), Weekly Leadership Sync, Monthly AMA with CEO, Quarterly Business Reviews (QBRs), Board Meetings, and Product Council sessions - managing calendar invites, preparing agendas and decks, ensuring sessions are recorded, and publishing all recordings and transcripts to the appropriate archive.
  • Facilitate the monthly AMA with the CEO - draft and distribute advance communications, manage anonymous question submissions via Slack, and moderate the live session.
  • Support QBR delivery from start to finish - work with eStaff to confirm dates and finalize the agenda, prepare the QBR deck, coordinate speaking times, and publish the recording to the Media Center post-session.
  • Manage Board Meeting logistics end to end - liaise with Board Member EAs to coordinate scheduling, manage Zoom links, and arrange CEO travel for in-person sessions.
  • Act as backup facilitator for the Weekly Playback when primary owners are unavailable.

  • A genuine love of process - you document things not because you’re told to, but because you understand that great documentation is what allows a team to scale.  You’re comfortable building and maintaining process documentation in tools like Notion or Confluence.
  • Sharp organizational instincts with an eye for detail - whether you’re preparing a board deck, managing a calendar, or coordinating a company-wide event, nothing slips through the cracks on your watch.
  • Clear and confident communication skills - you can synthesize a fast-moving leadership conversation into crisp action items, write a polished employee newsletter, and coordinate with a board member’s EA all in the same afternoon.
  • Comfort working across a modern tech stack including Google Workspace, Slack, Confluence, Lattice, Lever, Rippling, Carta, and Claude.
  • A people-first mindset - you genuinely care about the employee experience and bring warmth, discretion, and professionalism to every interaction, whether you’re onboarding a new hire or supporting the CEO.
