As a Design and Construction Lead in the Real Estate and Projects team within WX, you’ll be responsible for spearheading the planning, design, and construction of major workplace projects in an international portfolio including refreshes, global initiatives, full build outs, and long term planning as our in-house workplace design expert. You will have deep experience in office design, construction, and project management, along with knowledge of workplace trends. You will select and manage design firms for various projects, from branding updates to full building fit-outs. You must frame design problems, gather stakeholder feedback, and use data to inform decisions. Your strong presentation skills are essential to gain consensus and communicate effectively. You will also develop standards for Xero offices in different locations and scales.
You need strong project management, organisational, and communication skills. You'll be a key liaison with the HSSE, IT Systems and Technology, and Audio Visual teams, ensuring spaces have the necessary tools. You have experience in the full design and construction process and can set capital improvement budgets, playing an integral role in budget planning. You'll support global teams in executing design and construction projects by providing tools, guidance, and consultants. You'll work autonomously, have a user-focused mindset, and constantly seek improvements.
A typical day in this role will be extremely varied. You could be leading a project meeting, onsite at a construction project, deep in a project management tracking tool, on a video call for a project on the other side of the world, or researching the latest workplace trends and data.
What you'll do
- Provide Design Direction: Shape office spaces, set standards, and review project designs.
- Workplace Technology Oversight: Oversee the seamless integration and continuous improvement of IT, AV, and Security systems within the workplace, partnering with stakeholder teams.

- Budget Management: Set, own, and track global project budgets.
- Quality Standards: Develop workplace quality standards.
- Due Diligence: Support project and site due diligence, including real estate transactions
- Stakeholder Engagement: Engage stakeholders and communicate project updates.
- Collaboration: Lead collaborations within WX and globally.
- Relationship Building: Maintain strong relationships with internal stakeholders.
- Global Support: Travel globally and participate in out-of-timezone calls.
- Value Promotion: Promote and demonstrate Xero values.
What you'll bring with you
- 8+ years of working in a similar role, work and educational background in workplace design, construction, and project management.
- Proven delivery of a full range of workplace projects ranging from full building workplaces (500+ headcount) to single floor offices, to small but globally-scaled upgrade projects.
- Involvement in projects from start (project scope and due diligence) to finish (close-out and lessons learned).
- Experience managing global projects across timezones with the support of project management firms and local teams.
- Experience in a larger global team that can run in an async environment.
- Experience in customer service and effectively influencing stakeholders.
- Ability to develop and deliver presentations and reports to stakeholders at every level of the organization.
- Contract management exposure to ensure service level agreements are maintained.
