The Front Desk Assistant oversees guest management at The Engine, assists with event planning, and ensures smooth office operations and support for the Community Operations Team.

About the Position
The Front Desk Assistant is a member of our Community Operations Team. This team is small, so everyone collaborates and helps each other by taking on any task— big or small— and maintaining a "can do" attitude. The team works together to ensure that guests and residents feel well cared for, the physical space is functional and organized, and events are well-planned and run smoothly. Some work is independent while other work requires collaboration with other members of the team or The Engine Accelerator staff.
Areas of Responsibility
- Represent the Engine to all visitors, staff, and guests
- Oversee and maintain a presence at the front desk of The Engine at 501 Mass Ave during scheduled business hours
- Greet visitors warmly and ensure an efficient hand-off to their host using our guest management system
- Monitor building badges and keys; program access to building as directed; periodically update database system to ensure accurate information
- Provide support with event planning; reserve spaces; place and receive catering orders; set-up/breakdown furniture; work with host to ensure all preparation details are addressed
- Maintain relationships with facilities team and applicable vendors; triage issues and place service calls; schedule routine equipment service and warranty appointments
- Assist with monthly invoicing
- Keep desk tidy & office supplies stocked, organized, inventoried and readily available.
- Order supplies for events, office, and team members
- Assist the Operations Team at 750 Main St. with building walkthroughs and maintenance of conference rooms and kitchens
- Assist in Operations Team tasks as needed

- Ability to lift 35 lbs.
