Role Overview

The Experience Manager, Aspiring Investors (AEM) at Kiavi is a high-impact, revenue-generating sales role responsible for relationship-building, onboarding, and supporting aspiring and slightly experienced real estate investors getting started in the industry. The AEM serves as the primary subject matter expert, guiding clients through Kiavi's lending products (Fix-and-Flip, Rental, etc.), the Kiavi portal, and product guidelines.

By delivering a seamless, reliable, and scalable financing experience, the AEM instills confidence, establishes Kiavi as the client's clear lending partner, and ultimately drives new and repeat business to achieve loan volume and revenue targets.

Responsibilities

  1. Onboarding & Client Relationship Management
  • Conduct introductory onboarding phone calls for new leads upon assignment to establish immediate rapport.
  • Promptly address missed inbound calls and voicemails to ensure high customer responsiveness.
  • Execute a structured outreach cadence across multiple channels (phone, text, and email) to connect with prospective borrowers.
  • Maintain regular, ongoing communication tailored to lead status and conversion timelines:
    • Active Pipeline: Conduct consistent follow-ups with high-intent leads and active applications.
    • Nurture Leads: Maintain scheduled touchpoints with clients working on longer conversion timelines.
    • Existing Accounts: Check in periodically with current account holders to identify new acquisition, refinancing, or cross-selling opportunities.
  • Guide borrowers through key milestones across the loan process, providing touchpoints during initial onboarding, valuation/scope completion, and final term confirmation prior to closing.
  1. Pipeline & Operational Execution
  • Perform thorough application reviews prior to submitting files to processing to ensure accuracy, set realistic expectations, and outline next steps.
  • Verify borrower real estate experience to ensure terms are accurately represented and clients are positioned for success.
  • Proactively communicate loan adjustments to borrowers if deal parameters (such as purchase price, rehab costs, or valuations) change during processing.
  • Manage daily operational work, including clearing loan conditions, reviewing scopes and valuations, handling value mitigations, and addressing account updates.
  • Collaborate cross-functionally with internal loan processing, underwriting, and administrative teams to resolve bottlenecks and ensure timely closings.
  • Maintain active account hygiene, ensuring all assigned leads and applications receive timely outreach and pipeline statuses remain up to date.
  1. Strategic Planning & Operating Cadence
  • Adhere to time-blocking best practices, organizing the workday around high-impact phone outreach, operational reviews, and administrative duties.
  • Conduct brief daily pipeline reviews to prioritize urgent files, incoming responses, and immediate outreach needs.
  • Engage in regular, comprehensive weekly pipeline reviews to strategize on stalled files, address uncontacted accounts, and optimize conversion strategies.

Key Performance Indicators & Expectations

  • Funded Volume & Revenue: Consistently achieve monthly targets for funded loans and revenue within the assigned book of business.
  • Pipeline Health & Conversion: Maintain a healthy pipeline of leads and achieve established conversion rates from pre-qualification to loan closing.
  • Outreach & Activity Volume: Maintain high daily and weekly activity standards, consistently handling calls, conversations, and applications submitted to processing.

Subject Matter Expertise & Market Knowledge

  • Dedicate routine weekly time to ongoing professional development, market research, and credit policy refreshers.
  • Demonstrate strong knowledge of Kiavi’s core product suite (Bridge, Fix-and-Flip, Rental/DSCR) and underwriting guidelines.
  • Possess a strong understanding of investor strategies, including rehab budgets, Scope of Work (SOW), Net Operating Income (NOI), and Debt Service Coverage Ratio (DSCR), to offer consultative advice.
  • Stay informed on national and local real estate market trends, interest rate environments, and lending dynamics using internal and industry market tools.

Kiavi takes a market-based approach to pay, and pay may vary depending on your location. The expected annualized base pay range for this full-time role to be performed remotely is $37,000 to $55,000 base + $30,000 commission target + benefits. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries. Within the range, the successful candidate’s starting pay will be determined based on job-related skills, experience, qualifications, work location, and market conditions.   • Medical, Dental, and Vision Insurance: Kiavi offers free employee-only coverage for medical, dental, and vision plans. Dependents receive a heavily discounted premium, competitively placed in the 90th percentile for cost.
  • Health Savings Account (HSA): For those enrolled in a High Deductible Health Plan (HDHP), Kiavi provides an annual employer contribution to HSAs: $1,000 for individual coverage and $2,000 for dependents.
  • Disability and Life Insurance: Immediate access to short-term and long-term disability insurance, as well as group life and AD&D insurance, with coverage at 1x annual salary.
  • Remote Work Policy: Kiavi supports working remotely for day to day activities for most roles and occasionally may ask employees to gather in person for key meetings, training, team building etc. For remote workers, Kiavi offers a one-time office setup reimbursement of up to $500 and a monthly $85 stipend for internet and phone expenses. For in-office workers, Kiavi offers employer contributions to commuter benefits account, either for parking or public transportation.
  • Flexible Time Off: Employees are empowered to manage their own time off, with no strict limits, as long as it's approved by their manager.
  • Paid Leaves: Up to 8 weeks of paid leave for medical or caregiver purposes, and 12 weeks of paid maternity/paternity leave. Short-term disability leave is also available for birthing mothers.
  • 401(k) & Company Match: A 401(k) plan managed by Fidelity, with Kiavi matching 100% of contributions up to 3% of compensation or $8,000 (whichever is less). All employer contributions are immediately vested.
