About the Role

We're looking for a proactive, detail-obsessed Executive Assistant to support our Founder — managing the calendar, coordinating travel, arranging dinners and off sites.

Responsibilities

Calendar & Schedule Management

  • Own and manage the Founder's calendar end-to-end — scheduling, rescheduling, and protecting time with precision

  • Coordinate across time zones with internal team members, investors, partners, and board members

  • Anticipate conflicts, flag issues proactively, and resolve gaps without needing to be asked

Travel Planning & Logistics

  • Book all domestic and international travel — flights, hotels, ground transportation, and dining reservations

  • Build detailed, day-by-day itineraries that account for time zones, preferences, and contingencies

  • Handle last-minute changes calmly and quickly, keeping the Founder updated throughout

Dinners, Events & Hospitality

  • Arrange team dinners, offsites, and executive meetings — from venue research to day-of logistics

  • Coordinate catering, seating, and guest communications for in-office events

  • Act as a gracious representative of STLabs when interfacing with external guests and vendors

Ad Hoc & Special Projects

  • Take on a range of ad hoc requests from the Founder and Chief of Staff as priorities shift

  • Research venues, vendors, gifts, and other needs — and come back with a clear recommendation

Qualifications

  • 5-10 years of experience as an Executive Assistant, ideally supporting a founder or C-suite executive

  • Exceptional organizational skills — you track follow-ups, run lists, and nothing falls through the cracks

  • Strong written and verbal communication; you represent leadership professionally in every interaction

  • Tech-savvy: fluent in Google Workspace (Calendar, Gmail, Drive), Slack, and quick to pick up new tools

  • Experience booking complex, multi-leg international travel itineraries

  • Discretion and sound judgment when handling sensitive or confidential information
