The Executive Assistant will support the leadership team of the Investment Sales Organization within New York Life Investment Management (NYLIM) Institutional Distribution Hub. This individual will serve as a key liaison between internal stakeholders and external clients, partners, and vendors, ensuring seamless coordination and communication across a fast-paced, client-facing environment. The role is based in our New York City office.
The ideal candidate will bring a proactive, client-centric mindset, strong organizational and communication skills, and the ability to manage shifting priorities with professionalism and discretion. This individual must be comfortable working with senior sales executives, relationship managers, and cross-functional teams, and will play a critical role in supporting business development efforts and operational efficiency.

Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.

Responsibilities include, but are not limited to:
- Manage complex calendars, travel arrangements, and expense reporting for sales leaders.
- Coordinate internal and external meetings, including client-facing engagements, roadshows, and sales strategy sessions.
- Prioritize and respond to emails, calls, and inquiries on behalf of sales leadership; maintain organized records and files.
- Provide light tech support and troubleshoot basic IT issues as needed.
- Assist with planning and logistics for sales events, client meetings, and team offsites.
- Support compliance-related documentation and reporting for sales activities.
- Oversee day-to-day office operations, including supply management and administrative support for the broader sales team.
What You'll Bring:
- 5-10+ years of Executive Assistant experience, preferably in asset management, financial services, or a sales-driven organization.
- Strong written and verbal communication skills.
- Excellent organizational skills with exceptional attention to detail and follow-through.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Strong problem-solving and interpersonal skills.
- Proactive, adaptable, and client-service oriented.
- Professional demeanor and positive attitude.
- Willingness to work overtime as needed.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Associate or Bachelor's degree preferred.
