We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide dedicated support to our CEO, Chief Growth Officer, and Chief Strategy Officer. In this role, you’ll act as the connective tissue that keeps priorities aligned, calendars managed, and operations running smoothly for our executive team. Because our leaders and partners span multiple regions, this role will require someone comfortable operating across time zones, cultures, and global business environments. The right candidate will be detail-oriented, professional, and confident navigating fast-paced and ever-changing priorities with a global lens.

This is an ideal role for someone who thrives in fast-moving environments, has a strong sense of ownership, and enjoys creating structure and clarity behind the scenes - while balancing the needs of a globally distributed executive team.

What You’ll Do

  • Provide day-to-day administrative support to three executives, managing complex global calendars, international travel, and cross-time-zone meeting coordination.
  • Serve as a gatekeeper and point of contact, ensuring executives’ time is focused on top priorities.
  • Prepare agendas, presentations, briefing materials, and follow-up notes for meetings with internal teams and global partners.
  • Coordinate across internal departments and international stakeholders to support executive initiatives.
  • Track action items and deadlines, ensuring timely completion and communication of deliverables across regions.
  • Assist with expense reporting, invoice processing, and other operational tasks.
  • Support special projects, events, and strategic initiatives with both local and global impact.
  • Maintain discretion and confidentiality in all matters.

What We’re Looking For

  • 2–4 years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role (agency or fast-paced environment a plus).
  • Located in Southern California, Virginia, or the Tri-State Area (NY, NJ, CT). 
  • Excellent organizational and time management skills, with proven ability to manage multiple priorities across global time zones.
  • Strong communication skills (written and verbal), with the ability to interact confidently with executives and partners worldwide.
  • High level of discretion, professionalism, and judgment when handling sensitive information.
  • Proficiency in Microsoft Office and Google Workspace; experience with project management or collaboration tools is a plus.
  • Self-starter with a proactive mindset, capable of anticipating needs before they arise.
  • Strong attention to detail while maintaining flexibility in a dynamic environment.
