Mondoo is creating security experiences that companies leverage to keep their users and data safe from hackers around the world.
We’re on the lookout for an Executive Assistant who’s not just organized but tuned in. Someone who stays one step ahead, sees around corners, and anticipates what’s coming before it lands. This hybrid role blends high-level executive support with hands-on People Operations work. You’ll support multiple C-level leaders across time zones with scheduling, travel, and communication management, board meeting coordination, executive offsite planning, while also jumping in to help with recruiting, onboarding and other projects.
This position begins as a 3-month contract-to-hire role, with serious intention to transition to full-time based on mutual fit and performance.

What You’ll Achieve:Stay two steps ahead: Anticipate needs, potential conflicts, and upcoming priorities for multiple executives, and solve problems before they surface.
Master complex calendars: Coordinate meetings across international time zones, balance competing priorities, and make the impossible scheduling puzzle fit.
Keep communication flowing: Organize and triage inboxes, draft and polish correspondence, and ensure follow-ups happen without prompting.
Own logistics: Manage domestic and international travel end-to-end, from flights and hotels to detailed itineraries and contingency plans.
Prepare for success: Gather materials, take notes, and track action items for meetings and strategic discussions.
Confidential partner: Handle sensitive information with professionalism and discretion.
Recruiting coordination: Schedule interviews, manage candidate communications, and keep the recruiting process organized and moving.
People Ops support: Assist with onboarding, HR processes, company initiatives, and internal communications.
4+ years of experience as an Executive Assistant supporting multiple senior leaders (ideally across global teams).
Excellent organizational skills and attention to detail—you keep track of everything, even under pressure.
Strong written and verbal communication skills, with a knack for clarity, diplomacy, and tone.
Proactive and resourceful. You take initiative, spot gaps, and close loops.
Experience working with People Ops and Recruiting teams a plus. Desire to want to grow here a must.
Tech-savvy: proficient with Google Workspace, Slack, Zoom, and bonus points for familiarity with ATS and HR tools (we use Ashby and Rippling).
High integrity and sound judgment when handling confidential information.

Hourly rate of $75-$85/hour.
