About the Role

We’re hiring a highly organized, proactive, and sharp Executive Assistant to support our Chief Strategy Officer at HighKey, a fast-scaling social media consulting company that works with top-tier aesthetic and wellness clinics across North America.

You’ll begin with part-time hours (20/week) but must be available during standard U.S. business hours (9 AM–5 PM CST), as this role is expected to evolve into a full-time strategic support position within the next 90 days.

This isn’t your typical VA gig; this is a high-velocity executive support role designed for someone who can manage dynamic calendars, streamline communication, follow up with high-level contacts, and bring order to chaos.

Responsibilities

1. Calendar & Scheduling

  • Own and manage the CSO’s weekly calendar
  • Coordinate meetings, internal calls, travel, and high-priority events
  • Ensure no double-bookings or conflicts

2. Communication Management

  • Draft and send follow-ups, internal updates, and client comms
  • Respond to time-sensitive emails
  • Maintain strong, professional contact with partners, clients, and team leads
  • Communicate directly via phone and email as needed

3. Internal Coordination

  • Track tasks, client deliverables, and follow-ups using Basecamp
  • Stay on top of key projects and make sure nothing slips through the cracks
  • Support internal communication by taking notes, organizing call agendas, and logging action items

4. Account & Client Support

  • Help coordinate new client onboarding
  • Manage documentation and workflows for new business
  • Ensure accurate handoff and communication with internal teams
