About This Role:
As the Executive Assistant to an Executive Officer, you will play a crucial role in ensuring the seamless operations of the executive leadership office. Situated within the PO&T team, you will manage complex calendars, coordinate high-impact engagements, and foster proactive communication across the organization. By collaborating closely with other Executive Assistants and the Chief of Staff's office, your efforts will align priorities, support leadership forums, and drive strategic initiatives. You will serve as the central point of contact for stakeholders across the organization and externally, ensuring consistency and connectivity in enterprise-wide activities. Your role is instrumental in supporting the Executive Officer's vision and contributing to broader organizational success. Additionally, you will oversee travel arrangements for the Executive Officer and other PO&T leadership members, provide in-person support during international strategic sessions, and lead elements of PO&T engagements as required.
This is an onsite role to be based at our Headquarters in Cambridge, MA.
What You’ll Do:
Manage complex calendars for the Executive Officer, prioritizing engagements to optimize leadership effectiveness.
Prepare and execute PO&T Leadership Team meetings, governance forums, and employee engagement events.
Draft, review, and manage executive communications, ensuring timely correspondence.
Monitor and triage emails, prioritizing critical matters and ensuring effective resolution.
Maintain organizational documents, including org charts and SharePoint sites, while supporting onboarding efforts.
Coordinate domestic and international travel plans and process expense reports for the Executive Officer and PO&T leadership team.
Provide in-person support during ex-US strategic sessions and lead elements of PO&T engagements.
Collaborate with the PO&T Strategic Operations team to ensure alignment and execution of initiatives.
Foster connectivity across the team and broader organization.

Required Skills:
A minimum of 9 years of relevant experience working as an administrative assistant, with at least 3 years supporting an executive.
Experience working in a highly matrixed, global biopharmaceutical organization.
Demonstrated ability to collaborate across functions and work effectively with multiple executive stakeholders.
Strong organizational skills with the ability to manage competing priorities and anticipate needs.
Experience in coordinating enterprise-wide governance processes and major organizational events.
High level of discretion and ability to handle sensitive matters with integrity.
Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams), Concur, Zoom, and SharePoint.
Exceptional written and verbal communication skills.
Preferred Skills:
Bachelor’s degree in Life Sciences, Chemistry, Pharmacy, Engineering, Organizational Effectiveness, Communications or related field.

Base salary offered is determined through an analytical approach utilizing a combination of factors including, but not limited to, relevant skills & experience, job location, and internal equity.
