Executive Assistant to the Executive Director of Advancement


Brentwood School, a vibrant and diverse K-12 independent school, is looking for an Executive Assistant to the Executive Director of Advancement to start as soon as possible. Philanthropy background in healthcare or higher education is a plus. This is a non-exempt, full-time, 12-month position with occasional evening and weekend work required. 

Position Summary:

Under the direction of the Executive Director of Advancement, the Executive Assistant (EA) will support the Executive Director of Advancement and other members of the Advancement team as needed.  In addition to general office and administrative responsibilities, the EA will create event and donor briefings, produce reports, interact with donors and prospects and participate in planning and execution of events in addition to other duties assigned. A strategic problem-solver with sound judgment and a collaborative style will thrive in our close knit, professional, and productive team.

Duties and responsibilities include, but are not limited to:

Fundraising Operations

  • Collaborates with Constituent Database Manager to organize and oversee all prospect research
  • Assists with donor and prospect management database and related systems
  • Create briefings for events and individual meetings.
  • Supports the tracking and reporting on status of fundraising goals
  • Assists in event planning and execution.
  • Creates invitations and forms to manage RSVPs, and prepares supporting materials as needed

Administrative Support

  • Brings joy and a good sense of humor to the workplace
  • Partners on varied tasks for the Advancement Office, including inventory management and ordering of supplies, occasional mailings, work order submissions, ensuring tidiness of common area and storage spaces, and birthday celebrations.
  • Processes correspondence, donation documentation, invoices, and check requests
  • Supports planning, tracking and logistics for major events
  • Takes, prepares, and shares notes from staff meetings
  • Assists with additional Advancement functions as requested by Executive Director of Advancement, including occasional evening and weekend events.
  • Other duties as assigned by Executive Director of Advancement or Senior Administrative Team

Skills and Qualifications:

  • Bachelor's Degree or at least 5 years work experience in an administrative support role, preferably at the executive level
  • Well-developed interpersonal skills to establish and maintain effective working relationships and interact with individuals from a range of backgrounds
  • Data-driven and digital first mentality
  • Fluent in Google Suite, MS Word, Excel, PowerPoint. Adobe Creative Cloud is a plus
  • CRM experience required (Raiser’s Edge NXT and Research Point preferred) 
  • Talent managing simultaneous projects and deadlines with flexibility and adaptability, while maintaining calm under pressure
  • Ability to maintain complete confidentiality
  • Articulate in oral and written communication with excellent proofreading and organizational skills
  • Ability to work independently and follow through on assignments with minimal direction
  • Skill in managing a complex calendar, prioritizing well, and resolving conflicts

While being vaccinated for COVID-19 is not required, it is strongly recommended.

COMPENSATION: Brentwood School's diverse and talented faculty ranges widely in experience level, from those new to teaching to veterans who are experts in their respective disciplines with 30+ years of experience. Our salary range, of $68,000 to $75,000, includes all levels of experience. Salaries are determined based on years of experience, education, full- or part-time status, and number of months worked per school year. Salary ranges do not include benefits i.e. 403b retirement matching, paid lunch and various other benefits of being a member of the Brentwood School community.
