The Opportunity:

Ready to make an impact at the center of a fast-growing global company? We’re looking for an experienced and proactive Executive Assistant & Workplace Experience to join our Boston team.

In this role, you’ll primarily support our Chief Operating Officer (COO) and Chief Customer Officer (CCO) with high-level executive support while also taking ownership of the daily rhythm, culture, and operations of our new Boston hub. You’ll act as a trusted partner to two global leaders, and as a local driver of workplace experience, ensuring the office is a vibrant, productive, and welcoming environment. In addition to working closely day to day with the COO and CCO, you will work in close collaboration with our Europe-based Global Workplace Experience team.

This role is in-person (Monday - Friday) in our Boston Office.

 
Your Mission:
  • Executive Assistant (primary focus – 70%)
    • Manage complex calendars, meetings, and priorities for the COO and CCO
    • Coordinate international and domestic travel, preparing detailed itineraries
    • Act as gatekeeper for internal and external communications, ensuring timely responses and follow-through
    • Prepare and organize materials for leadership meetings and events
    • Handle confidential information with discretion and professionalism
    • Build strong relationships with stakeholders across the US and Europe
    • Support executive initiatives and special projects as needed
    Workplace Operations & Culture (secondary focus – 30%)
    • Partner with our Europe-based Workplace Experience team to ensure the Boston office operations run smoothly, while ensuring the office supports a hybrid, collaborative workstyle
    • Serve as the point person for employees, visitors, and vendors, creating a welcoming and professional environment
    • Contribute to organizing engaging events, team gatherings, and cultural initiatives that bring the Boston team together

What you need to succeed:
  • Proven experience as an Executive Assistant supporting senior executives (C-level strongly preferred)
  • Strong organizational and prioritization skills, with the ability to manage multiple tasks under pressure
  • Exceptional communication skills and ability to work confidently with executives, co-workers, and external partners
  • Experience coordinating meetings, travel, and events across multiple time zones
  • A proactive, solutions-oriented mindset with strong problem-solving skills
  • Ability to handle confidential matters with discretion and professionalism
  • Willingness to contribute to workplace operations and culture-building

Nice to have:
  • Experience with office or workplace operations, hospitality, or event coordination
  • Familiarity with tools such as Google Workspace and modern office technology
