The Opportunity
Our client, a pioneering biotechnology company based at Western Research Parks in London, Ontario, is hiring an Executive Assistant to work alongside the CEO across multiple areas of the business, helping move projects from discussion to execution and completion.
This is not a traditional administrative-only role. Your work may span client projects, regulatory initiatives, marketing, sales and business development, finance, strategy, recruitment, partnerships, scientific projects, and internal operations.
The role combines executive support, project coordination, business execution, and scientific/agricultural work. You should be equally comfortable preparing a customer presentation, coordinating a regulatory project, following up on business development actions, and organizing employee onboarding/offboarding.
This opportunity would suit someone with a scientific or agricultural foundation who is interested in developing broader commercial and business experience while working closely with the CEO of a growing agri-biotech company.

What You'll Do
1. Executive & Project Support
- Work directly with the CEO to organize priorities and drive projects and action items through to completion.
- Coordinate meetings, schedules, calendar priorities, and internal and external follow-ups.
- Track commitments, deadlines, and action items arising from meetings and business discussions.
- Prepare presentations, reports, proposals, briefing materials, spreadsheets, and other business documents.
- Conduct research and organize information to support business decisions and strategic initiatives.
- Coordinate across internal teams and external stakeholders to keep projects moving.
- Support strategy development, internal planning, and special projects assigned by the CEO.
2. Client, Sales & Business Development Projects
- Support client projects from initial discussions through follow-up and execution.
- Coordinate customer requests, deliverables, meetings, documentation, and follow-up activities.
- Support preparation of customer proposals, presentations, pricing information, and other commercial materials.
- Assist with sales and business development projects, including opportunity research, pipeline follow-up, and partner coordination.
- Maintain organized records of customer discussions, opportunities, and outstanding actions.
- Support partnerships and other strategic commercial initiatives.
3. Regulatory & Scientific Projects
- Support coordination and execution of regulatory projects and associated documentation.
- Work with internal scientific and regulatory team members to track submissions, testing requirements, supporting information, and project timelines.
- Help prepare scientific and technical information for internal, regulatory, client, and commercial purposes.
- Support other research, testing, and product-development activities as required.
4. Marketing & Business Projects
- Support marketing initiatives and coordinate activities with internal team members and external partners.
- Assist with development of presentations, product information, marketing materials, and customer-facing content.
- Research markets, customers, competitors, industry developments, and potential business opportunities.
- Coordinate marketing and commercial projects and follow up on deliverables and deadlines.
5. Finance & Internal Operations
- Support the CEO with finance-related projects, information gathering, reporting, and coordination with the finance team.
- Help organize documentation and follow up on operational and business priorities.
- Coordinate information across finance, sales, scientific, regulatory, marketing, and operations functions.
- Maintain organized project documentation and ensure required information is readily accessible.
6. HR Coordination
- Coordinate employee onboarding and offboarding activities.
- Arrange and track equipment, email and system access, building access, keys, and other employee setup or return requirements.
- Coordinate with HR, managers, and other internal stakeholders to ensure onboarding and offboarding activities are completed.
- Support other people-related projects assigned by the CEO.
Requirements
- Degree or diploma in Agriculture, Biotechnology, Biology, Microbiology, Plant Science, Agronomy, Horticulture, or another relevant life-science discipline.
- Strong interest in developing a career that combines bio science, business development, marketing, and project execution.
- Work experience in customer-facing, sales, business development, or marketing roles.
- Previous experience in agriculture, agri-biotech, biotechnology, biological products, or a laboratory environment.
- Recent laboratory or research experience, including microbiology, plant science, or product efficacy testing.
- Exposure to regulatory affairs or regulatory documentation.
- Excellent organization and ability to manage multiple projects and priorities across multiple teams simultaneously.
- Experience with preparing professional presentations, reports, proposals, spreadsheets, and other business materials.
- Experience working directly with a founder, CEO, senior executive, or startup leadership team.
- Experience with CRM or project-management systems.
- Strong written and verbal communication skills.
- Strong attention to detail and ability to maintain organized documentation.
- Comfortable interacting with clients, partners, scientists, employees, and senior business leaders.
- Ability to handle confidential and commercially sensitive information professionally.
- Comfortable working in a growing company where priorities and responsibilities can evolve quickly.
- Proficiency with Microsoft Office or Google Workspace, particularly PowerPoint/Slides, Word/Docs, and Excel/Sheets.
