Job Description:

Sun Life embraces a hybrid work model that balances in-office collaboration with the flexibility of virtual work.  Our team members and leaders are expected to foster connection and teamwork by being present in the office at least 2 days per week in either Wellesley, MA or Hartford, CT.

The opportunity:

The Executive Administrative Assistant is responsible for providing efficient and high-quality administrative support to senior leaders within the U.S. Compliance organization. The successful candidate will be a self-assured, pro-active, digital savvy, innovative thinker with superior organization and time management skills, and the ability to handle a variety of responsibilities and be a key player on the team, helping to support multiple initiatives for the V.P. Chief Compliance Officer (CCO) and the Compliance team.

How you will contribute: 

  • Support CCO and team leaders in the execution of their work

  • Provide accurate, organized, and efficient administrative support; collect data, track data, research information, manage calendars, create files, and maintain files etc.

  • Organize business travel and accommodation for the CCO and leaders

  • Coordinate the preparation of comprehensive quarterly reports by pulling data from the automated GRC tool (Archer), organizing the information, following up with team members to gather required input, interact with counterparts at the enterprise Sun Life Compliance reporting team, and ensuring all deliverables meet deadlines

  • Monitor email and incoming action items throughout the day, filter and direct items to the appropriate areas as required

  • Serve as the designated Purchase coordinator for the team. Ensure accurate expense administration and payments

  • Schedule and coordinate meetings and support or lead in planning team events or conferences including booking rooms, tracking future agenda items, setting agendas, coordinating locations, catering, setting up technology services, and arranging needs for guests as required

  • Support leadership team readiness for reviews of Key Performance Indicator (KPI) and Business Planning monitoring

  • Prepare agendas, presentations, communications, and other reports as required

  • Support the team by continuously developing knowledge in own area and identifying efficiencies

  • Cross Train to support other processes within the Compliance function as assigned

  • Manage shared drives and Compliance SharePoint sites

  • Build effective relationships within the Compliance team and within the community of Sun Life Administrative Assistants

What you will bring with you:

  • Experience working in insurance, financial services or service industry preferred

  • Experience with Governance, Risk and Compliance (GRC) tools such as Archer a plus

  • Experience with data analytic tools (e.g., Tableau) and AI agents (e.g., Co-Pilot)

  • 4+ years of administrative assistant experience required

  • Bachelor’s Degree or High School Diploma or equivalent required

  • Demonstrated ability to work both independently and within a team-oriented setting

  • Take initiative and prioritize work with a sense of urgency as required

  • Effective communication (written and oral)

  • Experience using multiple technology platforms including Microsoft Office Products, SharePoint, expense management, and procurement platforms, etc.

  • Multitask, prioritize, and provide support to various compliance processes across the Department

  • Ability to collaborate with both Business and Compliance professionals

  • Ability to identify and prioritize issues, take initiative, and recommend practical solutions

  • Takes accountability for personal and professional goals and objectives

  • High regard for confidentiality and maintaining the privacy of clients and business information

  • Highly adaptable to changing work priorities of the VP and management teams

Salary Range: $70,600 - $95,300

Your actual base salary will be determined based on your unique skills, qualifications, experience, education, and geographic location. In addition to your base salary, this position is eligible for a discretionary annual incentive award based on your individual performance as well as the overall performance of the business.
