Position Overview:
The Executive Assistant provides high-level administrative support to the executive management team. This role requires a proactive, detail-oriented individual with excellent communication and organizational skills. The Executive Assistant must handle confidential information with discretion and maintain a professional demeanor in all interactions.
Key Responsibilities:
Administrative Support:
Manage and maintain the executives calendar, including scheduling appointments, meetings, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Conduct research, compile data, and prepare reports.
Meeting Coordination:
Organize and coordinate meetings, including preparing agendas, materials, and minutes.
Attend meetings and take detailed notes for follow-up.
Communication:
Screen and prioritize incoming calls, emails, and correspondence.
Draft and proofread correspondence and documents.
Project Management:
Assist in the planning and execution of special projects and initiatives.
Track progress and provide regular updates.
Travel Coordination:
Arrange complex and detailed travel plans, itineraries, and agendas, including important visitors such as our board of directors and multinational executives from our customers
Ensure all necessary travel documents and information are prepared and timely, prepare expense reports.
Confidentiality:
Handle sensitive information with the highest level of confidentiality.
Maintain discretion and confidentiality in all business matters.
Qualifications:
Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Experience: Minimum of 5 years of experience in an executive assistant or similar role, preferably supporting C-level executives.
Skills:
Exceptional organizational and time-management skills.
Excellent verbal and written communication abilities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Writing and grammatical skills
Strong problem-solving skills and attention to detail.
Ability to work independently and as part of a team.
High level of professionalism and discretion.

Working Conditions:
On-site in Natick, MA five days per week.
Occasional work at weekends and at off hours given the international nature of our business and the demands of our executives
