Our client is a U.S.-based business lending and funding company that helps small to medium-sized businesses secure financing solutions. They’re known for their fast-moving operations and responsive communication, working closely with internal sales reps, underwriters, and external referral partners to process deals efficiently.
About the Role:
We’re looking for a detail-oriented Executive Admin Assistant to support the client’s daily operations. The ideal candidate is highly organized, responsive, and experienced in managing emails, CRM updates, and loan-related documentation. You’ll be working directly with the internal team to ensure smooth communication and timely processing of client submissions.
Responsibilities:
- Email Management
- Manage incoming emails from sales reps and referral partners.
- Monitor shared inbox threads and ensure all submissions are tracked.
- Respond promptly to emails related to loan processing or document requests.
- CRM / Salesforce Management
- Upload received documents and client details into Salesforce (or similar CRM).
- Update deal records through underwriting and approval stages.
- Retrieve documents from Salesforce when requested by underwriters.
- Maintain organized digital records within the CRM.
- Loan Processing Support
- Start loan processing once documents are received.
- Send missing document requests (e.g., tax returns) to clients or referral partners.
- Forward required docs to underwriters as needed.
- Coordination with Internal Team
- Notify internal reps when actions are needed on a deal.
- Follow up on pending tasks or missing documents.
- Data Entry
- Input all relevant data from loan submissions into Salesforce.
- Ensure accuracy of all uploaded and entered information.
Requirements
Qualifications:
- 1-2+ years of experience in administrative or operations support roles.
- Familiarity with CRM systems, preferably Salesforce.
- Strong attention to detail and ability to manage multiple priorities.
- Excellent written and verbal English communication skills.
- Reliable, responsive, and able to work within U.S. business hours.
- Schedule: 10:00 AM – 5:00 PM EST (Monday to Thursday) and 10:00 AM – 12:00 PM EST (Friday)
