Position Title: Education and Training Support Specialist
Location:  Hanscom Air Force Base Massachusetts , MA 01731
Job Type: full-time
Job Summary: The Education and Training Support Specialist is responsible for delivering operational and customer support to the Education and Training Center at Hanscom AFB. Key duties include managing training records, coordinating classroom schedules and training sessions, responding to customer inquiries, maintaining continuity folders, and ensuring compliance with applicable Air Force policies and procedures.
Responsibilities:

  • Deliver prompt, courteous customer service via phone, email, in person, and mail.
  • Schedule counseling sessions and coordinate training venues, logistics, and educational resources.
  • Provide daily administrative support, including records management and collaboration with Defense Acquisition University (DAU) personnel.
  • Maintain accurate, accessible documentation for government review and ensure proper records retention upon contract completion.
  • Prepare official correspondence, reports, and responses in approved formats, ensuring quality and timeliness.
  • Track and manage suspense items to meet deadlines and support government oversight.
  • Draft and coordinate responses to official inquiries, surveys, and data calls.
  • Support updates to publications and analyze results from customer satisfaction surveys.
  • Oversee the Customer Resource Center, ensuring availability of educational materials and program information.
  • Serve as the Records Custodian, maintaining compliance with Air Force records management policies.
  • Create and maintain continuity folders for all major education and training processes, including procedures, flowcharts, and contact lists.
  • Submit quarterly workload reports, documenting completed tasks and metrics aligned with performance standards.
  • Manage classroom scheduling via SharePoint, update weekly calendars, and resolve conflicts in coordination with the director.
  • Inspect classrooms before and after use for cleanliness and readiness; assist with setting up instructional materials and equipment
Requirements:
  • Experience in an administrative, training, education support, or program coordination role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to learn and adapt quickly to government-specific systems
  • Strong organizational and communication skills
