Job Description

COORDINTES WITH

Director, Marketing Strategy, Planned Giving Officer, Direct Marketing team, Accounting, Constituent Product Development team, Gift Processing team, Individual Giving and Engagement team, Content and Design teams, donors, prospects, estate officers, external legal staff, consultants, and vendors.

PURPOSE OF THE POSITION

Coordinates the integrated operations of direct marketing and operations teams and external partners to facilitate the implementation of strategies to cultivate, steward, grow, and retain house donor file and Planned Giving audiences via direct mail, telephone, email, and mobile. Operate as back up support to requisite responsibilities of Development Associate, Direct Marketing as needed.

 

PRIMARY RESPONSIBILITIES

•Coordinate campaign strategy inputs and production elements, including copy and artwork, across internal teams.
•Manage accounting workflows for the Direct Marketing team, including invoice tracking and payment approvals.
•Support Planned Giving efforts by executing mail-based cultivation and stewardship tactics in collaboration with the Planned Giving Officer.
•Draft routine and personalized correspondence for donor engagement and stewardship.
•Oversee the welcome and thank-you process for Legacy Circle members via mail, phone, and digital channels.

•Prepare and distribute donor materials, including mail merges and personalized mailings.
•Support maintenance and content updates for the Planned Giving website and track visitor engagement.
•Collaborate on Planned Giving marketing updates and material reviews.
•Coordinate bequest documentation with legal and financial partners and maintain records in the CRM system.
•Support the charitable gift annuity program, including vendor communication and donor account updates.

•Share donor communication protocols and CRM business rules with Donor Services and relevant teams.
•Track and report on Planned Giving campaigns and surveys with Donor Services.
•Process and sort incoming Donor Services mail, record and reconcile check amounts, and coordinate timely shipment of gift-related correspondence to external vendor.

•Maintain accurate Planned Giving data in the CRM and serve as the team's primary contact for database support.
•Provide backup support for the Development Associate, including acknowledgment letters, material orders, and source code uploads.

•Supports Impact-Driven Fundraising: Brings creativity, flexibility, and attention to detail to planned giving and direct marketing activities. Uses a donor-centered approach and adapts strategies to strengthen supporter relationships and fundraising results.
•Travel and Work Schedule Flexibility: Require to be in office 2-3 days per week, occasional evening or weekend work for donor events, campaign deadlines, or peak fundraising season. Minimal travel expected.

 

 

 

Qualifications

EDUCATION

•Some college or advanced studies preferred, or equivalent combination of education, experience, and training.

EXPERIENCE AND CORE COMPETENCIES

•0-2 years of progressively responsible administrative and team support experience
•Experience in direct marketing or print marketing
•Experience using arithmetic skills in an accounting or budgeting context
•Strong organizational skills and ability to manage multiple assignments
•Excellent interpersonal and written communication skills

.•Familiarity with data management and donor databases
•Understanding of USPS postage and permit account rules
•Proficiency in MS Office

 

PREFERRRED QUALIFICATIONS

•Experience using Salesforce, HubSpot, or other marketing CRM tools
•Experience with a cause-oriented organization
•Experience in a fundraising environment
