POSITION SUMMARY
Under the direction and supervision of the Chief Advancement Officer (CAO), the Development Administrative Coordinator is responsible for managing the core department operations, including gift processing, acknowledgments, invoices, and reconciliation with the Business Department. The Development Administrative Coordinator is also responsible for prospect research.
ESSENTIAL FUNCTIONS
Gift Processing, Acknowledgment, and Data Management
- Enter and track all donations in Raiser’s Edge, including credit cards, online, and stock or appreciated securities gifts.
- Audit gift entry, acknowledgment, and reconciliation procedures to ensure accuracy and consistency.
- Oversee imports, bulk updates, and data cleanup to maintain database integrity.
- Serve as the primary resource to the development team for database use, reporting, and troubleshooting.
- Support integration and transfer of transactions from online giving platforms and other systems.
- Contribute to broader development operations and process improvement initiatives as needed.
- Produce and distribute donor acknowledgment letters and tribute gift recognition cards.
- Create standard and ad hoc queries, exports, and reports related to fundraising and events. Maintain and update constituent groupings.
- Coordinate and execute print and email communications across platforms.
- Collaborate with Business and Admissions Offices to ensure data accuracy and financial reconciliation.
Research, Reporting, and Administrative Support
- Partner with the CAO to implement and manage the prospect research program.
- Produce prospect research and briefing materials using online databases and other resources.
- Create and manage reports to support development strategies and decision-making.
- Assist in drafting and editing development and admissions materials.
- Partner with the Advancement team on direct mail campaigns.
- Provide additional administrative support as needed.
This is a 12-month, in-person position.
EDUCATION AND EXPERIENCE
- Bachelor's degree preferred
- Professional office experience preferred; experience in a school or development setting is a plus
- Experience with CRM systems preferred, particularly Blackbaud Raiser's Edge or Raiser's Edge NXT
- Strong technical proficiency, particularly in Excel
- Excellent writing and editing skills

WORKING CONDITIONS/PHYSICAL DEMANDS
Physical demands include dexterity for office machine/supply operation, including but not limited to computer, telephone, electronic calculator, copy machine, and printers. Stooping, bending, reaching for files or supplies, and sitting or standing for extended periods are common.
