The Creative Project Coordinator is an essential role within our Creative Solutions group, requiring a highly organized, proactive individual capable of managing and coordinating incoming project requests. This role prioritizes all incoming work, evaluates deadlines, and assigns tasks to team members based on their skills and workload. The ideal candidate thrives in a fast-paced environment, is adept at balancing competing priorities, and is deeply committed to operational efficiency and team collaboration. This position involves close communication with both internal team members and clients. The ability to listen attentively, understand key details, and collaborate with passionate team members is critical. Previous experience with branding standards, as well as expert proficiency with tools such as Asana, Microsoft Suite, and Adobe Creative Suite, is highly valued.
Primary Functions & ResponsibilitiesThe Creative Project Coordinator will play a pivotal role in ensuring smooth project execution and must possess strong interpersonal skills, creativity, and the ability to think conceptually. They will need to clearly communicate ideas and priorities, both internally to the Creative Solutions team and externally to clients. Exceptional organizational skills, sound judgment, and a high ethical standard are essential in this role. Key responsibilities include:
- Hands-On Workload Prioritization: Utilize Asana to manage all incoming project requests for a global team, ensuring timely assignment and completion of tasks. Manage expectations and ensure the delivery of requested changes, returning completed work promptly to the requestor.
- Collaborative Client Support: Act as a liaison between the team and clients, providing support on complex requests and managing expectations for simpler projects. Demonstrate a clear understanding of client needs and deliver high-quality results.
- Team Management: Lead and guide the team, fostering collaboration and ensuring team members are aligned with departmental priorities. Address procedural questions and provide support where needed, helping the team stay focused and productive.
- System Support: Coordinate with IT to ensure key technological tools, such as Asana, Microsoft SharePoint, Adobe Creative Suite, and Outlook, remain functional. When issues arise, work with IT to resolve them quickly and minimize disruption.
- Project Support: Lead or assist with special initiatives to enhance team performance, including the adoption of new tools or processes. Take ownership of critical projects that contribute to the efficiency and effectiveness of the Creative Solutions team.
- College degree in Project Management, Marketing, Business Administration, Communications, Graphic Design, Media Studies or a related degree is preferred
- 6-8 years of minimum work experience, preferably in the Financial Services industry
- Proven experience in creative project management, preferably within a fast-paced environment.
- Strong knowledge of project management tools, especially Asana.
- Proficiency in Microsoft Suite and Adobe Creative Suite.
- Excellent communication and collaboration skills, with the ability to manage client expectations and work effectively with internal teams.
- Familiarity with branding standards and experience implementing them in a professional setting.
- Ensure an engaging client experience and achievement of program objectives by consistently meeting deadlines on assigned events and projects and keeping stakeholders apprised
- Ability to multitask, meet deadlines and remain detail-oriented in a fast-paced environment
- Good judgment in terms of escalating issues vs. solving problems independently
- A solutions-oriented self-starter with ability to see the big picture
- Ability to be flexible in terms of hours in order to coordinate with team members across various time zones
- An analytical mind and a passion for bringing new ideas to increase efficiency of existing processes

- Highly resourceful; able to collaborate; strength in time management with high stakes deadlines

Compensation
The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
$110,000 - $130,000
