This role supports the Associate Director, Talent & Programming in the planning and execution of programming, talent management and seminar logistics for the Food & Wine Classic in Aspen and the Food & Wine Classic in Charleston, while also supporting additional event initiatives across the events marketing team as needed.
The coordinator manages the detailed logistics that bring world-class Food & Wine Classic programming to life - from travel and accommodations for chefs and beverage experts to overseeing the behind-the-scenes planning of cooking demonstrations and beverage seminars. Working closely with internal teams and external partners to ensure programming is executed seamlessly.
The ideal candidate is highly organized, thrives in a fast-paced environment, enjoys managing multiple moving pieces simultaneously, and has a passion for hospitality, food & beverage, and live events.
Hybrid 3x a week- (New York)
In-office Expectations: This position is hybrid in-office, with the ability to work remotely for up to 2 days per week.
About The Team | The Team and/or Brand.
The Event Marketing team produces premier culinary and lifestyle experiences, including the Food & Wine Classic in Aspen, the Food & Wine Classic in Charleston, Food & Wine Best New Chefs, and other premium experiences across the food, drink, and lifestyle categories.
We are a small, collaborative, and highly effective team that works closely together to deliver best-in-class experiences.
About The Positions Contributions:
Weight % Accountabilities, Actions and Expected Measurable Results
25%: Coordinate talent logistics, including travel, accommodations, transportation, itineraries, weekend schedules, and on-site hospitality
25%: Manage logistics for cooking demonstrations, beverage seminars, and event programming, coordinating operational details from planning through on-site execution
20%: Serve as primary point of contact for talent, talent representatives, and external partners, providing clear communication and timely follow-through throughout the planning process
15%: Partner cross-functionally with the broader event marketing team to support planning and on-site execution across event projects
15%: Support the event marketing team with contracts, budgets, research, project tracking, records, and databases
The Role’s Minimum Qualifications and Job Requirements:
Education:
Bachelor's degree in Hospitality, Event Management, Marketing, Communications, or a related field, or equivalent professional experience.
Experience:
1-2 years of experience in events
Experience in hospitality, food & beverage, or premium events is preferred
Experience coordinating multiple stakeholders or supporting talent management is a plus
Specific Knowledge, Skills, Certifications and Abilities:
Strong project management skills with exceptional follow-through and accountability
Excellent organizational skills and attention to detail
Ability to manage multiple priorities, deadlines, and projects simultaneously
Excellent written and verbal communication skills, with confidence interacting with high-profile talent and external partners
Comfortable managing detailed logistics, spreadsheets, databases, and project trackers
Proactive problem solver who remains calm and adaptable in a fast-paced environment
Ability to work independently while contributing to a collaborative team
Flexibility to work evenings, weekends, and travel as needed

Pay Range
Hourly: New York: $20.00 - $25.00The pay range above represents the anticipated low and high end of the pay range for this position and may change in the future. Actual pay may vary and may be above or below the range based on various factors including but not limited to work location, experience, and performance. The range listed is just one component of People Inc's total compensation package for employees. Other compensation may include annual bonuses, and short- and long-term incentives.
