Background
Boston Seaport is in search of an energetic and motivated Coordinator to join the neighborhood's growing marketing team. The Seaport marketing team works with determination and enthusiasm to further the perception of the Seaport brand, establishing the neighborhood as (1) the most sought-after retail destination in the city of Boston, (2) a rapidly expanding arts, food, and cultural hub, and (3) a national hub for life sciences, technology, and AI companies. The Coordinator role is an opportunity to contribute to the many different functions of marketing and communications for the dynamic Boston Seaport neighborhood.

Overview
The Coordinator, Culture + Experience supports the execution of Seaport's experiential programming — from large-scale seasonal activations to recurring community events. This person reports to the Associate Director, Culture + Experience, with day-to-day dotted-line support from the Assistant Manager, helping coordinate logistics, tenant touchpoints, and vendor needs, while building toward greater ownership of individual events and programs over time. This is an on-site, Boston-based role. Due to the events nature of the job, this role does require weekend commitments, which can be fairly consistent during certain seasons.

Responsibilities

  • Support event logistics for recurring programs and installations — scheduling assistance, vendor and instructor outreach, site map updates, Eventbrite setup, and day-of on-site support.
  • Serve as a day-to-day point of contact for on-property tenants participating in events and promotions, helping coordinate availability and deliverables (social posts, in-store activations, signage).
  • Oversee Seaport's ambassador program following completion of training, managing scheduling, onboarding, and day-to-day coordination.
  • Assist with vendor and tenant administrative needs — collecting COIs, tracking invoices and renewal dates, pulling contracts together, and filing signed contracts and SOWs.
  • Field guest and tenant inquiries, escalating as needed to the Assistant Manager or Associate Director.
  • Support cross-functional coordination with the digital, PR, and app teams to help promote events across platforms.
  • Help track monthly budget actuals and AMEX expense coding for Culture + Experience programming.
  • Attend recurring cross-functional meetings alongside the Assistant Manager (weekly PR check-ins, Brand Partnerships x Marketing touch-bases) to build familiarity with the broader team.
  • Assist the team in identifying tenant activation opportunities within established events, with growing ownership over time.
  • Help compile event attendance, Insider app, and tenant sales data to support post-event recaps and reporting.
  • Learn the Insider app's role in event promotion and redemption offers, contributing ideas as familiarity builds.
  • Take on increasing responsibility for owning individual smaller-scale events end-to-end as skills develop.
  • Own invoice submissions, coding, and workflow management.
  • Assist with new vendor set-up.
  • Summarize notes from internal and cross-functional team meetings, highlighting clear takeaways and next steps.

Requirements
  • Bachelor's degree in marketing, Communication, or a related field
  • 1–2 years of experience in event marketing, retail/experiential marketing, property or brand management, or a related field; internship experience considered.
  • Strong attention to detail, organizational skills, and follow-through; comfort supporting multiple concurrent events and vendor relationships under deadline.
  • Ability to thrive in a fast-paced environment and with a sense of urgency, managing multiple projects and shifting priorities with poise and efficiency.
  • Excellent written and verbal communication skills for tenants, vendor, and cross-functional stakeholder support.
  • Excellent communication and relationship building skills.
  • Comfortable working evening/weekend hours for event coverage.
  • A collaborative, detail-oriented style with genuine enthusiasm for community-building and retail/hospitality experiences.
