We are seeking a Contracts Coordinator to join our team. This is a hybrid opportunity based out of Waltham, MA.
Job Summary
The Contracts Coordinator will be critical member of the Imprivata Legal team. This role will manage our contract database and support our legal operations. This role is crucial as we pilot a new contracting process with our customers, requiring signatures on order forms. The ideal candidate will be very detail-oriented, organized and able to manage multiple priorities while partnering cross-functionally across different departments.
Duties and Responsibilities
  • Manage the contract database in LinkSquares - including tracking contract lifecycles (i.e. renewals, expirations and terminations).
  • Oversee the signature and approval workflow and filing process for a high volume of contracts (approximately 5,000 documents per year).
  • Ensure all contracts are signed correctly and nothing has been altered.
  • Perform quality control checks on all contracts.
  • Store and track documents efficiently.
  • Handle ticketing in Salesforce and serve as a point of contact for intake requests or inquiries from internal teams.
  • Utilize Microsoft Word, Adobe and email to manage legal documents and responsibilities.
  • Issue Non-Disclosure Agreements and ensure recipients know where to find documents.
  • Other duties as assigned and required.

Required Qualifications
  • Bachelor's degree required.
  • 1-2 years of experience in legal administration, contract management, or related experience.
  • Previous experience in a law firm or as a junior legal professional.
  • Experience using Salesforce, Microsoft word and Adobe or related e-signature tools.
  • Excellent attention to detail and solid organizational skills.
  • Ability to manage a high volume of documents while ensuring accuracy.
  • Familiarity with contract terminology, contract management systems and legal processes.
  • Excellent written and verbal communication skills.

This position offers a total compensation range of $87,800.00 to $97,800.00 inclusive of base salary and variable compensation, such as bonuses and incentives). In addition, more information about Imprivata's benefit offerings can be found here. This range represents the high and low end of Imprivata's compensation range for this position. Actual compensation will vary and may be above or below the range based on various factors, such as a candidate's location, skills, experience, and qualifications.
