You’re comfortable juggling multiple priorities, anticipate needs before they arise, and understand that an excellent candidate experience is built on precision, communication, and follow-through. As a contract Recruiting Coordinator, you bring a roll-up-your-sleeves mindset and can quickly plug into an existing recruiting operation to make an immediate impact.
Responsibilities:
- Coordinate and schedule interviews across multiple time zones, ensuring a smooth experience for candidates and interview teams.
- Manage interview logistics including calendar coordination, virtual meeting setup, onsite scheduling, and interview confirmations.
- Serve as a primary point of contact for candidates throughout the interview process, providing timely communication and a high-touch experience.
- Partner closely with recruiters and hiring managers to support full-cycle recruiting activities and maintain hiring momentum.
- Maintain accurate and up-to-date candidate records within the applicant tracking system (ATS).
- Prepare interview materials, agendas, and interviewer guidance as needed.
- Support offer-stage coordination, including scheduling offer discussions and assisting with pre-employment steps.
- Track interview activity, scheduling metrics, and recruiting workflow status to ensure process efficiency.
- Identify opportunities to improve coordination processes and candidate experience during the contract period.
- Provide general administrative and operational support to the recruiting team as hiring needs evolve.
Requirements:
- 1–3+ years of experience in recruiting coordination, talent acquisition operations, or a similar scheduling-intensive role.
- Strong experience managing complex calendars and coordinating interviews in high-volume or fast-paced environments.
- Familiarity with applicant tracking systems (e.g., Greenhouse, Lever, Ashby, Workday, or similar).
- Excellent written and verbal communication skills with a candidate-first mindset.
- High attention to detail and strong organizational skills with the ability to manage competing priorities.
- Comfort working independently in a contract role with minimal ramp-up time.
- Proficiency with Google Workspace and/or Microsoft Office tools.
- Ability to maintain professionalism and confidentiality when handling sensitive candidate information.
This position is based on-site at Merlin HQ in Boston, MA.
