Job Description

We are looking for a responsible Project Coordinator to administrate and organize all types of commercial projects, from simple activities to more complex plans.

Project Coordinator responsibilities include working closely with our Sales/Operations Teams to prepare comprehensive action plans, including transferring technical product knowledge, operational and logistic timeframes and order management (quote to project closeout cycle). You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like quote/order entry, maintaining project documentation and handling pricing records. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines.

Ultimately, the Project Coordinator’s duties are to ensure that all projects are aligned with project scope and internal operational execution.  

DUTIES AND RESPONSIBILITIES

  • Coordinate all Commercial Window & Doors project, ordering & technical requirements, scheduling deliveries and project “close out process”
  • Break projects into doable actions and set timeframes.  Bring awareness to plants early in the process to ensure minimal disruption to daily plant environment
  • Liaise with sales team/clients to identify and define requirements, scope and objectives
  • Assign tasks to internal teams and assist with schedule management
  • Make sure that clients’ needs are met as projects evolve
  • Help prepare project quotes in coordination with “Commercial Pricing Specialist”
  • Analyze risks and opportunities to ensure “We price to win and Execute not to fail”
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work with the Northern Region Sales & Ops Teams to eliminate blockers
  • Capture all appropriate documentation (e.g. PO’s, Submittal Packages, Signature and Pricing Records)
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests

Qualifications

  • 3 - 5 years of proven technical knowledge and experience working with sales team on project coordination and managing multiple deadlines
  • Proven work experience in Customer Service and order management from conception to delivery
  • An ability to prepare and interpret window schedules, technical/performance specifications to meet project needs and mitigate risk
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Accu-quote ordering soft-ware
  • Knowledge of and experience quoting window projects 
  • Strong excel, word and CRM knowledge to keep solid records and bring awareness across multiple business functions
  • Experience working with Microsoft Project preferred but not required

The US base salary for this role is $50,000 - $60,000 annually + medical, dental, vision benefits starting day 1 + 401k and PTO. Our salary ranges are determined by role, level, and location. Individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process. (Full-time is defined as regularly working 30+ hours per week.)
