Role

Commercial Operations provides the data, tools, and processes that every employee needs to be successful in a Commercial environment.  We provide processes, programs, and systems to minimize costs and optimize sales workflows at Octus, as well as support the overall business with insights from sales data and reporting, pipeline and forecasting and territory performance. We partner with our Editorial teams, HR, Finance, Marketing, Product, and Technology teams in a collaborative approach that results in a high level of cross-functional teamwork and consistent communication across the business.  Find out more about our products here: octus.com/products/

Reporting directly to the Commercial Operations Manager, the Commercial Operations Administrator will serve as a go-to person for queries related to Sales, Customer Success, and Marketing processes, as well as the tools used by these teams, and to field questions from and offer assistance to the wider commercial team and also independently lead projects.

This is a hybrid position (3 days in the office per week), based in our NYC office.

Key Responsibilities

  • Manage administration tasks that ensure the smooth running of key business processes
  • Review, verify and manage contracts throughout their lifecycle. This includes tasks such as data entry, document review, compliance with legal requirements, coordinating with relevant stakeholders and ensuring accurate user access 
  • CRM administration - maintaining high levels of data quality and integrity within our CRM system, ensuring proper usage and reporting capabilities
  • Oversee and optimize key business processes, practices, and policies for internal customer satisfaction and employee productivity
  • Work with other members of the Operations team, Sales, Customer Success and Marketing teams to identify and lead projects to improve different areas of the sales cycle; responsible for decision making when leading project initiatives 

Requirements

  • Experience in a Commercial/Sales Operations department, Business Operations, or Sales administration role
  • Excellent organizational skills, can work to deadlines, and ability to prioritize and manage multiple projects simultaneously
  • Strong interpersonal skills for cross-functional and international collaboration
  • Self starter, ability to manage your own time, tasks and activities
  • Proficiency in CRM systems (e.g., Salesforce)
  • Good experience with Microsoft applications i.e. Word, Excel etc. 

At Octus, we consider a range of factors in connection with compensation decisions, including experience, skills, location and our business needs and limitations. As a result, compensation may vary within and across similar roles and positions. Please note that the salary range information below is a good faith estimate for this position and actual compensation for any individual may fall outside this range if warranted by the circumstances applicable to that individual. If we identify a role that would be suitable for a broader range of skills and experience such that we would consider hiring at multiple levels then the range listed below may reflect that breadth.

The base salary range estimate for this position is $65,000-$70,000. This position is eligible for an annual discretionary bonus. 

The actual compensation will be at Octus’ sole discretion and will be determined by the aforementioned and other relevant factors.
