Job Description SummaryThe Scheduler/Planner is responsible for scheduling the work force productively through effective job planning. They will be a liaison between building occupants, Facilities Operations, and key stakeholders for logistics concerning facilities assets and manpower availability and will assist operations in developing a structured work plan to ensure efficient and effective use of available resources.Job Description

Schedule: Monday-Friday (7:00am-3:30pm).

PRIMARY RESPONSIBILITIES

Asset Management

  • Maintain accurate asset inventory in CMMS.
  • Ensure assets are up to date and that all add/delete requests are processed in the CMMS.
  • Ensure assets have appropriate PM’s created and assigned by creating job plans and frequencies with technicians and management authorization.
  • Own the creation and distribution of asset tags.

Planning

  • Ensure job plans are up to date and that all change requests are processed in the CMMS.
  • Determine labor craft and skill requirements for maintenance work and properly align with facilities personnel.
  • Support the selection of spare parts and min/max system based on preventative maintenance and criticality assessment.
  • Development of work packages including materials and documentation in support of maintenance work.

Scheduling

  • Coordinate maintenance work requirements to ensure effective and efficient optimization of resources.
  • Act as a liaison between Facilities group and requesting department/tenant for the purposes of coordinating maintenance work.
  • Coordinate and schedule contracted service providers for lead technician or management approved contracts.
  • Lead weekly scheduling meeting with facility and maintenance managers.

Reporting

  • Generate and distribute daily, weekly and monthly work reports.
  • Data collection in support of scheduled reporting.

Financial

  • Assist with budget preparation and reporting department budget/actual monthly reports.
  • Soliciting service contracts and SLA’s and generating PO’s.

Administration

  • Responsible for the processing of employee timecard and time off submissions.
  • Quality oversight of work order and asset records in CMMS.
  • Creating and submission of purchase orders in support of asset management and preventative maintenance program.

DESIRED SKILLS

  • Excellent organizational, communication (oral and written), and planning skills.
  • The ability to provide management and support staff with reports and guidance to make informed decisions in regard to maintenance schedules.
  • Ability to multi-task in a high speed, high pace environment.

DESIRED EXPERIENCE

  • 5-10 years' experience in maintenance planning / scheduling or relevant experience.
  • Proficient experience with a Computerized Maintenance Management System (CMMS), preferably iOffice.
  • Should be able to read mechanical, structural and electrical drawings.
  • Previous experience in Facilities Management preferred.
  • GxP experience preferred.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $37.40 - $44.00
