Summary of the Billing Workflow Business Analyst
The Billing Workflow Business Analyst works directly with the customers to determine how their billing processes will work with our application. They will use knowledge in behavioral healthcare and SmartCare application to guide our customers in developing best practice billing workflows. Develop training materials and provide assistance to users, helping them learn the application.
This is a remote position based in the United States.
Job Functions of the Billing Workflow Business Analyst
Customer Engagement & Requirements GatheringCollaborate directly with behavioral healthcare clients to understand their billing processes.
Conduct discovery sessions to identify current workflows, pain points, and desired outcomes.
Translate customer needs into system requirements and configuration plans.
Help guide clients in designing billing workflows that align with SmartCare capabilities.
Recommend industry best practices for behavioral health billing (e.g., Medicaid, managed care, sliding scale).
Ensure workflows support compliance with payer requirements and regulations.
Help customers understand and configure SmartCare billing modules to support client-specific workflows.
Help customers understand setup of fee schedules, service codes, payer rules, and claims processing logic.
Configure billing templates and automation rules.
Develop training materials tailored to client billing teams.
Conduct hands-on training sessions for billing staff and administrators.
Create quick reference sheets and FAQs.
Support testing of billing workflows during implementation (e.g., claim generation, remittance posting).
Validate system behavior against expected outcomes.
Troubleshoot and resolve configuration issues.
Provide on-site or remote support during go-live.
Monitor billing operations and assist with issue resolution.
Ensure users are confident and capable in using SmartCare for billing.
Collect feedback from users and identify areas for improvement.
Recommend enhancements or workflow adjustments.
Support ongoing training and system updates.
Work with clinical analysts, primary business analysts, and project managers to ensure billing workflows integrate with clinical documentation and scheduling.
Coordinate with SmartCare support and development teams for escalated issues.
Requirements of the Billing Workflow Business Analyst
Bachelor’s degree in healthcare administration, Business, Information Systems, or related field preferred.
2–5 years of experience in healthcare billing, preferably in behavioral health
Experience with EHR implementation projects, especially billing modules preferred
Ability to travel up to 30%.
Knowledge, Skills, and Abilities of the Billing Workflow Business Analyst
Technical & Application SkillsProficiency in SmartCare EHR or similar behavioral health EHR platforms
Understanding of billing workflows, including charge entry, claims processing, and remittance
Familiarity with EDI transactions (e.g., 837, 835 files)
Ability to configure billing rules, fee schedules, and payer setups
Experience with data validation, testing, and troubleshooting
Strong understanding of behavioral health billing practices
Knowledge of Medicaid, Medicare, and commercial insurance billing requirements
Awareness of HIPAA and healthcare compliance standards
State-specific billing understanding is a plus.
Ability to analyze complex workflows and recommend improvements
Strong attention to detail in system configuration and testing
Capable of identifying root causes and resolving billing issues
Excellent verbal and written communication skills
Ability to translate technical concepts into user-friendly language
Experience developing and delivering training materials
Ability to manage multiple tasks and priorities in a fast-paced environment
Comfortable working in cross-functional teams
Adaptable to changing client needs and system updates
