Job Description:

As part of Ipsen’s global Real Estate and Facility Management operation, the Associate Director, Regional Workplace Operations , Americas will serve as the primary point of contact for all Ipsen offices across the Americas region, including the United States, Canada, Colombia, Brazil, and Mexico. This role will support the Director in shaping and executing workplace and facilities strategies that foster effective, engaging environments, with a strong emphasis on enhancing the employee experience.

The Associate Director will be responsible for overseeing regional service providers to ensure consistent, high-quality delivery across the portfolio. This includes managing vendor relationships, driving operational excellence, and aligning services with Ipsen’s global standards.

The scope of responsibilities may include commercial offices, non-technical laboratory spaces, and non-technical manufacturing offices (excluding process plants).

Main Responsibilities & Technical Competencies

Key Accountabilities:

  • Support the implementation of Workplace and Facilities strategies that deliver against strategic objectives and ensure consistent employee experience
  • Align workplace and facilities strategies to regional business needs and priorities.
  • Continually review the regional portfolio to identify opportunities to drive workplace and facilities improvements and deliver value, aligned to Ipsen objectives and changing business requirements.
  • Implement workplace design standards and processes, ensuring they align with wider workplace guidelines and drive consistency across the portfolio.
  • Lead local improvement projects related to real estate and workplace and represent in local or regional initiatives including or impacting RE & Workplace.
  • Ensure that all areas of property management throughout the property life cycle support Ipsen sustainability targets.
  • Manage the health and safety standards across all areas of our estate and its delivery, ensuring that it complies with all legislative requirements and policies to ensure a safe working environment for all staff and customers.
  • Manage Tier 1 service provider’s performance across the region.
  • Effectively and accurately manage the Facilities budgets for the region, developing key relationships with the business and Finance functions to ensure accurate forecasting and reporting of Facilities costs.

Regional Workplace and Facilities Strategy & Vision:

  • Support the alignment of regional workplace and facilities strategies to regional business needs and priorities.
  • Ensure that the Ipsen brand and culture is integrated into workspaces, and that the strategy can be supported operationally (e.g. technology, people, and facilities management), to enable productive working.
  • Collaborate on developing the strategy for technology in the workplace to ensure employees have the right technology to achieve strategic goals and work productively.

Regional Stakeholder Engagement:

  • Support Director on engaging with senior stakeholders to understand strategies / initiatives and identify workplace and workplace experience requirements.
  • Acts as an ambassador for collaboration, proactively engaging with teams across the business and developing strong networks.
  • Provide workplace and workplace experience expertise to enable effective decision-making across the business.
  • Share external market insights with the business, providing recommendations that will drive improvements and deliver value.
  • Work closely with all Real Estate and Facilities team to cascade initiatives and requirements shared by stakeholders.
  • Function as the link in between local and global organization to foster, drive and suggest improvements and requirements.

Regional Workplace and Facilities Management:

  • Continually review the regional portfolio to identify opportunities to drive workplace experience and facilities improvements and deliver value.
  • Work on key regional workplace major projects, working closely with the Global projects team and Real Estate team to ensure projects align to Ipsen objectives and deliver value.
  • Review regional workplace plans in response to requirements, to ensure alignment with strategies and understand any implications across the portfolio.
  • Ensure data driven improvements are identified, proposed, and implemented.
  • Embed the core Ipsen values across the team and suppliers.

Regional Workplace Supplier Management:

  • Manage Workplace activities delivered by suppliers, ensuring they are in line with agreed contracts and global standards.
  • Manage the regional relationship with preferred workplace suppliers, assessing performance against defined KPIs and metrics.
  • Review supplier performance and escalates performance issues / risks to the Global and/or Regional Workplace Strategy and Experience Director
  • Work closely with Procurement to ensure supplier contract costs relating to workplace activities are cost effective and within budget.

Regional Workplace and Facilities Policies, Processes and Standards:

  • Support the implementation of Global workplace and facilities design and minimum standards, ensuring they align with local regulations, risk, compliance, health, safety and environment standards and drive consistency across the portfolio.
  • Support the development of processes to aid employees, support functions and users of the office space to adapt to changes, understand workplace policies and ways of working.

Regional Workplace and Facilities Risk Management:

  • Escalate workplace risks to Regional Workplace & Facilities Director, supports on the evaluation of risks and on the appropriate course of action.
  • Manage safe workspaces, which align to health, safety and environmental standards, legislation, and internal policies.
  • Work with suppliers to track and analyze workplace and FM spend across the region and identify opportunities to optimize costs and improve employee experience.

Operational Excellence and Business Performance Management:

  • Monitor the performance and operational excellence of workplaces within the region, against key global objectives and metrics.
  • Ensure regional Workplace and FM data is accurate, complete, and shared with the Global Projects and Analytics team.
  • Create an environment that fosters a culture of inclusion and respect and ensures team members are always acting ethically.

Compliance:

  • Embed Compliance Culture across all regions of the business ensuring Integrity in Action is actively applied in all initiatives.
  • Ensure team members strictly adopts a culture of ethics and compliance, leading by example and appropriately challenging non-compliance.
  • Ensure adherence to Ipsen policies relating to Ethics and Compliance standards.

HOW - Knowledge & Experience

Knowledge & Experience (essential):

  • At least 7 years’ experience within facilities management (FM), ideally in a biopharma or life sciences setting
  • Demonstrated ability to collaborate with customers to develop workplace and FM strategies.
  • Proven experience managing FM budgets, including reporting, and forecasting to meet targets.
  • Track record of delivering cost savings and enhancing workplace experience through FM initiatives.
  • Demonstrated strategic leadership with the ability to engage teams, suppliers, and stakeholders to deliver on long-term plans; applies a broad, global perspective to embed best practices and drive operational performance within a multicultural matrix organization, supported by strong teamwork and commercial awareness.
  • Acts as a champion for innovation and continuous improvement, fostering a culture of idea generation and proactively driving adoption of new processes, systems, and approaches across teams.
  • Strong collaboration skills with the ability to work cross-functionally and across virtual teams to build trust, engagement, and alignment.
  • Excellent verbal and written communication skills, both verbal and written, with the ability to influence and engage stakeholders effectively.
  • Skilled in delivering management reports, metrics, and formal presentations to varied audiences (e.g., business leaders, compliance, training, and operational teams)
  • Demonstrates personal accountability for business performance, consistently delivering high-impact results while constructively addressing risks and obstacles.
  • Applies sound judgment and decision-making skills with integrity; takes appropriate action to address non-compliance.
  • Proficient in Microsoft Office, virtual collaboration tools, databases, compliance systems, and online knowledge platforms
  • Ability to work independently and take initiative.
  • Willingness to travel within the region as necessary and assigned

Education

  • BA/BS is strongly preferred
  • Equivalent professional qualification with demonstrated expertise.

The annual base salary range for this position is $160,000 - $200,000.

The pay range displayed above is the range of base pay compensation within which Ipsen expects to pay for this role at the time of this posting. Individual compensation within this range depends on a variety of factors, including, but not limited to, prior education and experience, job-related knowledge and demonstrated skills.
