The Opportunity

Kargo is seeking a highly capable, polished and resourceful C-Suite Assistant to support members of the Kargo Executive Team. Kargo’s C-Suite Assistant is part of the People Operations team and reports to the Chief of Staff. The assistant plays a crucial role in ensuring seamless day-to-day operations and acts as a dependable partner across the organization. This individual must be a proactive problem solver with a positive, can-do attitude—no task is too big or too small.

The ideal candidate is professional, adaptable, detail-oriented, and eager to learn. This role offers a front-row seat to the dynamic world of advertising and media and serves as an excellent launching pad for future opportunities within Kargo.

The Daily To-Do

  • In-person role, reporting to the NYC office 5 days a week. Serve as the face of the office, welcoming visitors and guiding them appropriately to ensure a warm and professional experience.
  • Manage executive calendars via Google Calendar, scheduling internal and external meetings and ensuring time is optimized and protected.
  • Coordinate domestic and international travel, including flights, accommodations, and transportation, using corporate programs and points for optimal pricing.
  • Process and maintain monthly expense reports using Expensify.
  • Organize meeting logistics, including preparing agendas, coordinating catering, and managing meeting materials.
  • Provide backup support for the Receptionist, C-Suite Assistants and Executive Assistant to the CEO when out of office.
  • Retrieve and summarize information from emails, documents, and records as needed.
  • Assist with planning and coordinating small events, such as team meetings, client visits, and internal gatherings, ensuring all logistics are handled smoothly and professionally.
  • Handle general office support duties such as mailings, shipping logistics, and document preparation.
  • Answer and route phone calls to the appropriate contacts.
  • Perform additional administrative tasks and special projects as assigned.

Qualifications

  • 5 + years of administrative or office support experience, ideally within a fast-paced or media/advertising environment.
  • Exceptional organizational skills, with the ability to manage complex schedules and ensure the Executive Team stays on track.
  • Demonstrated ability to handle sensitive and confidential information with the utmost discretion and professionalism.
  • Strong self-confidence and resilience; must be able to think quickly, exercise sound judgment, and adapt as needed.
  • Proven ability to multitask, prioritize effectively, and maintain an acute attention to detail.
  • Excellent written and verbal communication skills.
  • Flexibility to work beyond traditional business hours when necessary.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets), Microsoft Office Suite, and Slack.
