Job Summary & Responsibilities
The Asset Services Specialist will report to the Asset Services Manager in the R&C Operations Department. This role is responsible for performing various shared services related to both the Alternative and Traditional Asset Teams. The Account Administrator- Asset Services is responsible for performing various shared services such as reviewing and maintaining vault and lock box withdrawals and deposits, maintaining the asset security master, and processing activity related to specialty alternative assets. The ideal candidate will be a quick learner and have strong attention to detail, accurate and rapid data entry capabilities, capacity for multitasking, and the ability to prepare and process correspondence in a timely manner. Through verbal and written communication, the incumbent will develop, strengthen, and maintain a positive relationship with the Asset Operations Teams, firm associates, clients, investment sponsors, and referral partners.
• Monitor and process activity related to specialty alternative asset classes including private stock, warrants, real estate, precious metals and annuities
• Review and record vault asset deposits and withdrawals and assist with the vault audits
• Review and record lock box deposits and withdrawals relating to the Incoming Physical Securities procedures
• Maintain the asset security master within the Trust Accounting System
• Maintain, review, and update the contact master within Salesforce
• Process bankruptcy and other court-related notifications, prepare requests for asset devaluations and process monthly updates related to approved impairments
• Research and resolve any issues that arise in the course of these processes
• Ensure that work generated consistently adheres to Company policies and procedures and meets established service levels
• Create and maintain written operating procedures related to assigned functions
• Actively share ideas to improve department processes and efficiencies
• Other duties as assigned
Initial training for this position will take place onsite in Oak Brook, IL for approximately three months.
Upon successful completion of training, this position will transition to a hybrid work arrangement. Onsite workdays are subject to change based on business needs. The typical work schedule for this role is 8:00 a.m. to 4:30 p.m. CST.
