Job Title: Alumni Engagement Coordinator
Department: University Advancement
Reports to: Director of Alumni Engagement and Annual Fund
Employment Status: Full-Time/12 Months
POSITION SUMMARY
The Alumni Engagement Coordinator supports the planning, coordination, and execution of alumni engagement activities and annual fund initiatives that strengthen alumni connection and participation in support of Lasell University. Reporting to the Director of Alumni Engagement and Annual Fund, this position plays a key role in coordinating alumni events, communications, volunteer activities, and related administrative processes.
The Coordinator also provides limited administrative and project support to the Vice President for University Advancement and assists with general Advancement office operations. This role is well suited for an early‑career professional seeking hands‑on experience in alumni relations, annual giving, and higher education advancement within a small, collaborative office environment.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Alumni Engagement and Annual Fund Coordination (Approximately 80%)
- Coordinate the planning and execution of alumni engagement activities and events, including reunions, regional programs, signature alumni events, and on‑campus gatherings.
- Provide logistical and administrative support for alumni events, including scheduling, registration set‑up, RSVP tracking, materials preparation, and on‑site event support.
- Assist with alumni communications related to engagement and annual fund initiatives, including event invitations, reminders, confirmations, and follow‑up communications.
- Support annual fund efforts by coordinating administrative and logistical aspects of annual fund communications and activities overseen by the Director of Alumni Engagement and Annual Fund.
- Assist with tracking alumni participation and annual fund activity, including event attendance and basic response data, using Advancement systems.
- Serve as a primary point of contact for alumni inquiries related to events, engagement opportunities, and annual fund participation, providing timely and professional customer service.
- Support alumni volunteer initiatives and committees by assisting with communications, scheduling, and coordination.
- Assist with data entry, record updates, and reporting to support alumni engagement and annual fund planning and assessment.
Administrative Support to the Vice President for University Advancement (Approximately 15%)
- Provide administrative and project support to the Vice President for University Advancement as assigned.
- Assist with scheduling, calendar coordination, and meeting logistics.
- Provide administrative and logistical support for Board‑related activities as directed, including Advancement and Board Development Committee meetings.
- Support follow‑up and tracking related to special projects and initiatives led by the Vice President.
Advancement Office and Operational Support (Approximately 5%)
- Provide general administrative support to the Advancement office as needed.
- Perform routine administrative tasks such as ordering office supplies, coordinating with vendors, and supporting office logistics.
- Assist with expense tracking, credit card reconciliations, and reimbursement submissions in accordance with University procedures.
- Coordinate meeting logistics for Advancement team meetings and other meetings as requested.
- Support special projects and operational needs across University Advancement as assigned.
MINIMUM QUALIFICATIONS
- Bachelor’s degree preferred; Associate degree or equivalent professional experience considered.
- One to three years of experience in alumni relations, event coordination, annual fund support, administrative support, or a related field; higher education or nonprofit experience preferred, internship experience may be considered.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Strong customer service orientation and ability to interact professionally with alumni, volunteers, and campus partners.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with alumni or advancement databases (e.g., Raiser’s Edge or similar CRM systems) preferred.
- Ability and willingness to work occasional evenings and weekends to support alumni and annual fund events.
WORKING CONDITIONS
- Work is performed in both office and event‑based environments.
- Occasional evening and weekend work required.
- Ability to lift light materials (up to 15 lbs.).
