Role Summary/Purpose of the Job

This is a cross-functional role. Its main remit will support the firm’s Alumni Network efforts, while also supporting the broader US Marketing & Business Development team as projects require.
Alumni connections can be a powerful tool in winning new business, deepening brand awareness and strengthening talent for the firm. The coordinator’s role is to support the broader alumni engagement strategy, including conducting research to support the firm in leveraging alumni connections, managing the alumni database and assisting the firm in keeping close to its alumni through events, newsletter content and reunions.
The broader Marketing & Business Development responsibilities for this hire will be assisting with cross-practice activities for the US region, including reporting, events support, communications planning and various research projects.

Key responsibilities and deliverables

Alumni Relations dedicated responsibilities:

  • Data / CRM:
    • Manage alumni database, including creation and updating records; liaise with BD colleagues to keep alumni records up to date
    • Onboard new alumni records via sending out welcome emails and reminders using marketing software
    • Assist in user testing of new CRM (Salesforce) development work
  • Events:
    • Support alumni-related events, reunions, and CLE events globally, including logistics, pre and post-event communication and post-event CRM tracking
    • Proactively identify non-alumni-specific events globally that may be of interest to our alumni, and/or may have BD benefits to the firm
    • Assist with administration of US leaver dinners with Events team and EAs
  • Content and Communications:
    • Compile and format content for global alumni newsletters and retired partner newsletters
    • Assist with creation (drafting, editing) of alumni stories
    • Identify alumni who would be good candidates for alumni stories articles
  • Career Services:
    • Manage database of job-seeking alumni (and clients when applicable)
    • Collaborate with Career Services team to maintain client jobs list
    • Liaise with Partners and BD colleagues to source new and update existing client job listings
  • Channel Marketing:
    • Help with manage content updates for alumni website page/portal
    • Assist with posts and engagement within alumni-specific LinkedIn group social
    • Collaborate with Internal Comms and Practice Management colleagues to share various alumni news and program updates internally

Business Development dedicated responsibilities:

  • US-wide BD Reporting:
    • Prepare and maintain reports focused on business development and marketing initiatives for the US region.
    • Liaise with lawyers, BD, events, comms and CRM teams to ensure completeness of reporting to senior firm leadership.
  • Events:
    • Assist with organizing client seminars/conferences/webinars
    • Prepare invite lists, mailing invitations, coordinating conference materials
    • Ensure proactive follow-up, liaising with Events and other teams as necessary.
  • Client Mailings/Contact Database:
    • Coordinate mailings for client newsletters and briefings. 
    • Maintain mailing lists and updating as necessary, using relevant systems in coordination with our CRM resources.
  • Cross-Functional Support:
    • Collaborate where needed with colleagues across US Comms and Public Relations, Digital Comms, CRM, Brand and Events teams.
    • Support cross-practice BD teams on time sensitive and/or large-scale projects.
    • Prepare agendas, materials and summaries for internal meetings (including MBD Team, Partner and other internal committee meetings).
    • Undertaking internal and external research and analysis on clients, targets, markets, competitors, rankings, etc.

Key requirements (Communication/skills/experience)

  • Bachelor’s degree required
  • Related experience in a professional environment desired
  • Experience with full MS Office Suite desired
  • Experience with Salesforce (CRM and Marketing Cloud) desired

Candidate must have:

  • a high level of attention to detail
  • a client-service, can-do attitude
  • excellent written and verbal communication skills
  • the ability to multi-task and prioritize in a fast-paced environment
  • ability to work overtime on time sensitive projects, as necessary

For individuals assigned and/or hired to work in New York and California, Freshfields is required by law to include a reasonable estimate of the compensation range for this role. This compensation range is specific to the States of New York and California and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $80,000 to $90,000.
