This position is located at the Ragon Institute in Cambridge, MA, and is a part of Massachusetts General Hospital, MIT, and Harvard Medical School. We are a results-oriented group of highly motivated scientists from the fields of immunology, virology, genetics, and technology development who perform translational research to treat and prevent HIV and adverse women’s health outcomes. Reporting to Dr. Douglas Kwon and Dr. Shiv Pillai, the Staff Assistant provides administrative support and serves as a point of contact for PIs in a professional, courteous, and helpful manner. The role also includes serving as a project assistant for the planning of educational workshops in sub-Saharan Africa.
We’re looking for someone eager to grow in this role, eventually taking on additional responsibility and visibility within the Kwon and Pillai Labs.


 

Job Summary

Performs basic to general secretarial or clerical duties related to the department functions. Receive telephone calls and personal callers, handling inquiries independently or directing to another party. Receives incoming mail and email; answers routine correspondence. Maintains daily calendar and make appointments. Types letters, runs reports, maintains or assists in maintaining files and records. Other related items as required. This is an entry-level support role.
Essential Functions
Perform administrative duties for an individual, group, or department.
Prepare reports, meeting minutes and correspondence.
Create and edit documents, spreadsheets and presentations.
Manage schedules, arrange appointments and itineraries.
Coordinate meetings, travel, conference calls, and complete expense reports.
Answer and transfer phone calls.
Remain knowledgeable of business unit policies.
May make contacts of a sensitive, complex, and confidential nature.
May work for one or several department professionals, division heads, officers, or managers.
Entry-level support role; performs routine tasks as directed and under close supervision.

Qualifications

Education
High School Diploma or Equivalent required
Can this role accept experience in lieu of a degree? No
Experience
administrative Assistant or Secretarial Experience 0-1 year preferred
Knowledge, Skills & Abilities
Basic understanding of office procedures including filing, copying, scanning, printing and faxing.
Basic Proficiency in MS Office.
Ability to use phone system.
Managing one's own time and the time of others.
Strong verbal & written communication skills.
Strong customer service skills.
Strong interpersonal, written and oral skills.
Ability to use standard office equipment.
