The position supports efficient operations within a fast‑paced, global organization and is part of a new leadership team building an end‑to‑end development organization in Inflammation & Immunology.
Responsibilities include managing calendars, meeting coordination, material distribution, travel logistics, and expense reporting while ensuring full adherence to Pfizer policies and compliance requirements. The role requires the ability to work independently, prioritize effectively, navigate ambiguity, and manage multiple priorities. Regular interaction with senior leaders, scientists, clinicians, academic collaborators, vendors, and visitors is expected. The individual will collaborate with administrative colleagues in a team‑oriented environment and provide back‑up support to the Operations group as needed.

What You Will Achieve
In this role, you will:
- Maintain calendars of team members; prioritize meetings, book meeting rooms, anticipate conflicts and uses diplomacy to resolve problems in advance.
- Set up teleconferences, Teams, videoconference and in-person meetings for all principals and ensure all materials and technology needs are available and operational.
- Make travel arrangements, provide detailed itineraries, prepare and submit expense reports and perform reconciliations.
- Capture meeting minutes for scientific leaders.
- Maintain and/or access departmental or company document/knowledge repositories, websites, and business systems (e.g. SharePoint), as needed. Expedite flow of work items and initiate follow-up when necessary.
- Purchase and track orders for office peripherals using the appropriate Pfizer systems.
- Provide backup administrative support to ensure business continuity for the I&I Operations Team.
- Assist and perform ad-hoc duties for members of the broader I&I department, as needed.
- Ensure accuracy of work, use judgment to determine work methods, and proactively organize workflow.
Here Is What You Need (Minimum Requirements)
- High School Diploma or GED with at least 6 years of experience
- Demonstrated planning and organizing skills
- Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word
- Excellent attention to detail and interpersonal skills
- Ability to work with confidential documents and information
- Strong communication and collaboration skills
- Ability to carry out all office functions proficiently and complete quality work on a timely basis

- Prior experience as an Administrative Assistant supporting leadership in a global organization
- Knowledge of the pharmaceutical industry and healthcare environment
- Strong organizational skills and the ability to manage multiple tasks simultaneously
