The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the office or department. This position is responsible for managing correspondence, scheduling appointments, maintaining records, preparing documents, assisting customers and employees, coordinating meetings, and supporting daily office operations.
The ideal candidate is organized, dependable, detail-oriented, professional, and capable of managing multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities
Provide day-to-day administrative and clerical support to management and staff.
Answer, screen, and direct telephone calls in a professional manner.
Respond to emails, messages, and routine correspondence.
Schedule appointments, meetings, and conference calls.
Maintain calendars and coordinate schedules.
Prepare, format, proofread, and distribute letters, reports, presentations, forms, and other documents.
Organize and maintain electronic and physical files and records.
Enter, update, and maintain information in databases, spreadsheets, and company systems.
Receive, sort, distribute, and send mail, packages, and other correspondence.
Assist with meeting preparation, including agendas, documents, rooms, and supplies.
Take meeting notes or minutes when required.
Order and maintain office supplies and equipment.
Process invoices, purchase orders, expense reports, or other administrative documents as assigned.
Assist with customer, vendor, employee, and visitor inquiries.
Maintain confidential company, employee, customer, and financial information.
Coordinate with internal departments, vendors, and external contacts.
Assist with travel arrangements, reservations, and expense documentation when needed.
Prepare basic reports, spreadsheets, and presentations.
Assist with data entry and document management.
Monitor deadlines and follow up on outstanding tasks.
Support special projects and administrative initiatives.
Help maintain an organized, professional, and efficient office environment.
Perform other duties as assigned by management.
Required Qualifications
High school diploma or equivalent.
Previous administrative, clerical, office, or customer-service experience preferred.
Strong verbal and written communication skills.

Accurate data-entry and document-formatting skills.
Basic knowledge of office equipment such as printers, scanners, copiers, and multi-line telephone systems.
Preferred Qualifications
1–3 years of administrative or office experience.
Experience supporting managers or multiple departments.
Experience with scheduling and calendar management.
Experience preparing reports, spreadsheets, and presentations.
Experience with accounting, invoicing, purchasing, or expense processing.
Experience using CRM, ERP, HR, or other business-management software.
Bilingual or multilingual skills may be preferred depending on the organization.
