Job Summary
The Administrative Assistant will provide general administrative support to department faculty and students in one or more units. Duties include organizing and scheduling meetings, ensuring appropriate front desk coverage, managing work study students, troubleshooting meeting technology, tracking and maintaining department budgets, maintaining office equipment, generating purchase orders, reconciling expenses, email communications, filing, mail sorting, answering department telephones, and ordering office supplies. The Administrative Assistant will assist with events, including workshops, conferences, and seminars as required. This role is largely on-campus due to being the face of administrative support for their area(s) and greeting and assisting all students, faculty, and visitors.

Responsibilities
- Point of Contact / Customer Service: Serves as a key point of contact for inquiries about programs, policies, and processes in one or more department/program. Acquires and applies knowledge of the department(s) to provides information for routine matters and escalates more serious matters. Provide front desk coverage and coordinate schedules of work study students to ensure appropriate coverage, customer service, and support are always available during needed hours (typically Monday-Friday; 9am – 5pm).
- Provide general administrative and operational support to department/program faculty and students, which may include organizing and scheduling meetings tracking and maintaining unit budgets; maintaining office equipment, generating purchase orders, reconciling corporate credit cards, email communications, filing, mail sorting, answering department telephones, and ordering office supplies.
- Data gathering, analysis & reporting: Gathers, organizes, and reviews data from a variety of sources for recordkeeping, reporting and program management. Basic proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint and Outlook.
- Assists with the planning of events and coordination of activities needed to hold workshops, conferences, and seminars.

Qualifications
- Associate degree or equivalent combination of education and 1–3 years of relevant professional experience
- Ability to plan, organize, prioritize tasks, and manage time effectively
- Strong attention to detail and ability to ensure work is completed accurately and on time
- Knowledge of office administration practices and processes
- Ability to carry out special assignments, monitor progress, and follow through to completion
- Strong interpersonal and written communication skills
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
