Administrative Assistant, Marketing

Location: Boston, MA - Hybrid

In this highly visible role, you will combine classic executive support with planning and execution responsibilities that help us run our marketing teams at scale. You will work in a dynamic team environment, build effective working relationships cross-functionally and balance multiple tasks simultaneously.  This is an ideal opportunity for a growth-oriented Executive Assistant or operations professional who wants to take their career to the next level.

Day-To-Day:

  • Manage calendars for the team leads: schedule internal and external meetings, prioritize time against strategic priorities, resolve conflicts quickly.
  • Own the meeting operating system for the team: prepare agendas, ensure pre-reads are sent, document decisions and actions, and follow up.
  • Plan and book domestic and international travel, including agendas, logistics, and briefing materials.
  • Ensures expense reports and purchase orders are completed accurately, within budget limits.
  • Support the annual and quarterly planning cycle (collecting inputs from team leads, consolidating plans, preparing planning meetings and materials).
  • Turn priorities into concrete action plans (draft simple project plans, define owners and timelines, track progress in a lightweight tool like a Kanban board).
  • Maintain a team roadmap / initiative tracker and regularly flag risks, delays, or decision needs to you and the leads.
  • Support coordinating cross-functional initiatives (aligning stakeholders, scheduling check-ins, chasing deliverables, keeping everyone informed).

Preferred Skills and Knowledge:

  • Strong organizer and system thinker: you enjoy turning chaos into structure and building simple, repeatable ways of working.
  • Excellent written and verbal communicator who can adjust tone and detail for different audiences.
  • Highly proactive and resourceful: you see around corners, anticipate needs, and solve problems before they escalate.
  • Comfortable working with confidential information and navigating a fast-paced, sometimes ambiguous environment.
  • Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel); experience with collaboration and project tools (e.g., Teams, Miro, Asana, Trello, or similar) is a plus.

Basic Qualifications:

Bachelor’s Degree or 2 years of professional experience

What you need to know about the Boston Tech Scene

Boston is a powerhouse for technology innovation thanks to world-class research universities like MIT and Harvard and a robust pipeline of venture capital investment. Host to the first telephone call and one of the first general-purpose computers ever put into use, Boston is now a hub for biotechnology, robotics and artificial intelligence — though it’s also home to several B2B software giants. So it’s no surprise that the city consistently ranks among the greatest startup ecosystems in the world.

Key Facts About Boston Tech

  • Number of Tech Workers: 269,000; 9.4% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Thermo Fisher Scientific, Toast, Klaviyo, HubSpot, DraftKings
  • Key Industries: Artificial intelligence, biotechnology, robotics, software, aerospace
  • Funding Landscape: $15.7 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Summit Partners, Volition Capital, Bain Capital Ventures, MassVentures, Highland Capital Partners
  • Research Centers and Universities: MIT, Harvard University, Boston College, Tufts University, Boston University, Northeastern University, Smithsonian Astrophysical Observatory, National Bureau of Economic Research, Broad Institute, Lowell Center for Space Science & Technology, National Emerging Infectious Diseases Laboratories
