RESPONSIBILITIES
- Perform administrative duties. Including but not limited to attendance forms for programs on a weekly basis
- Greet and direct clients and visitors. Ensure employees and visitors are signing in and out of the daily building visitor/employee logbook.
- Answer and direct phone calls in a pleasant and timely manner.
- Accept package and mail deliveries, receive and distribute incoming mail .Prepare mailing and ensure timely delivery of outgoing mail to post office as required.
- Maintain office supplies and place orders with prior supervisory approval.
- Maintain and organize files,community center contact information, documents and data base systems.
- Oversee the upkeep off meeting rooms, order food and beverage as needed.
- Prepare invoices in a timely and efficient manner.
- Assist staff during emergency evacuation of the building which may include lifting and assisting children weighing up to 50 pounds with or without corrective devices and accommodations.
- Work is performed in a community program and office environment with the daily use of office equipment. Extended periods of sitting, standing and lifting.
- Attendance at internal and external meetings and trainings as required.
- Other responsibilities as assigned.
QUALIFICATIONS
- Associate degree, high school diploma or equivalent.
- Minimum 3-4 years of prior administrative support experience preferably working in childcare programs.
- Pleasant phone manner with good communication and administrative skills.
- Professional, positive and patient demeanor.
- Must be highly organized and able to multitask.
- Proficient typing and editing skills.
- Attentive to detail.
- Competent skills with Microsoft Office Suite, Office365, Outlook, Excel and Zoom. Strong Internet skills.

The base pay range reflects what Catholic Charities reasonably and in good faith expects to pay for this role at the time of posting and may be modified from time to time. Actual compensation in this range may be determined based on other factors, including but not limited to work experience, education and specialty training.
