About the Role

The Accounts Payable Specialist owns Double E’s day-to-day accounts payable activities while helping strengthen the processes, controls, and communication that keep our operations running smoothly. This role manages invoices and payments from receipt through reconciliation, partners closely with employees and vendors, and identifies practical ways to improve accuracy, visibility, and efficiency. The ideal candidate is dependable, detail-oriented, proactive, and comfortable communicating across teams.

Requirements

What You’ll Do

  • Own daily accounts payable operations, including invoice intake, coding, purchase order matching, approval follow-up, data entry, and payment preparation.
  • Review invoices and supporting documentation for accuracy, proper authorization, appropriate accounting treatment, and compliance with company policies.
  • Maintain accurate vendor records and respond promptly and professionally to vendor inquiries, payment questions, and account discrepancies.
  • Execute ACH, check, and other vendor payment runs on schedule, confirming payment accuracy.
  • Reconcile vendor statements, subledger activity, and general ledger accounts; investigate and resolve discrepancies.
  • Prepare journal entries and monthly accounts payable accruals, including employee expense activity, to support an accurate close.
  • Monitor aging, credits, duplicate invoices, past-due items, and other exceptions; communicate risks and drive issues to resolution.
  • Document and strengthen core AP workflows, controls, and service standards to improve accuracy, cycle time, transparency, and scalability.
  • Produce clear AP reporting and communicate priorities, exceptions, and status updates.
  • Support audits, special projects, and other accounting activities as needed.

About You

  • You take ownership, follow through on commitments, and keep high-volume work organized without losing attention to detail.
  • You have solid accounts payable knowledge, including invoice processing, purchase order matching, payment execution, reconciliations, accruals, and aging management.
  • You are a strong communicator who can explain issues clearly, build productive relationships, and follow up respectfully.
  • You approach problems analytically, investigate root causes, and develop practical solutions rather than relying on workarounds.
  • You are comfortable improving established processes, documenting procedures, and helping others adopt more consistent ways of working.
  • Working knowledge of accounting fundamentals and internal controls.
  • You are proficient in Microsoft Excel and comfortable learning and using ERP, expense, and payment systems.

Bonus Point

  • Experience using an ERP system; experience with electronic payment platforms and expense management systems is a plus.
  • Experience improving AP workflows, reporting, controls, or automation is strongly preferred.
  • Ability to prioritize competing demands, meet deadlines, and maintain accuracy in a fast-paced environment.
