The 1031 Exchange Administrator supports the 1031 Exchange team by managing files, correspondence, wires, and relationships with clients and partners, while coordinating marketing and training events.
SUMMARY/OBJECTIVE:
The 1031 Exchange Administrator will support the 1031 Exchange Business Development Officer, the 1031 Exchange In-House Processing Team and the VP of Northern 1031 Exchange.
KEY RESPONSIBILITIES:
The 1031 Exchange Administrator will support the 1031 Exchange Business Development Officer, the 1031 Exchange In-House Processing Team and the VP of Northern 1031 Exchange.
KEY RESPONSIBILITIES:
- Set-up all new In-House 1031 Exchange files. Create the documents using XGen tool, create the folders and handle all correspondence with clients for signatures
- Maintain In-House 1031 Exchange calendars for exchanges
- Correspond with all settlement agents and provide timely instructions in preparation for closings
- Verify all wire instructions verbally and set-up wires in Online Banking for closing
- Approve all wires with deposits that were set-up from team
- Maintain the master email list and promptly add all new contacts, clients and prospects
- Collaborate with Marketing to prepare for upcoming conferences, webinars and in-person seminars. Establish marketing needs and collateral
- Reconcile the Northern 1031 Exchange accounts monthly
- Work with Finance and Enterprise Data Management teams to submit KPI’s monthly
- Maintain and grow relationships with closing attorneys, title agents and brokers
- Schedule in-person seminars and online webinars for the Business Development Officer and VP of 1031 Exchange
- Actively solicit CPA firms, Law firms and Real Estate Agencies to establish relationships and set Northern as Qualified Intermediary of choice
- Answer all calls and emails in a timely fashion. Some nights, weekends and holidays will be required
- Identify any cross-selling opportunities for multiple Northern teams
- Bachelor’s degree required
- 5+ years’ experience in banking or administration preferably in real estate or 1031 exchange industry
- Strong verbal and written communication skills
- Strong analytical, problem solving and organizational skills
The salary range for this role is $65000 - $85000 per year
