What you'll do:

The RFP Coordinator supports the sales teams in fulfilling inbound requests for information and documentation associated with competitive bids (e.g. RFI’s, RFQ’s & RFP’s), IT Security Questionnaires, Vendor Surveys and other requests from clients and prospective clients. This position owns the RFP process and requires strong technical and persuasive writing skills, organizational skills, attention to detail and the ability to manage against strict deadlines.

  • Complete first-pass responses on standard (common) questions by using a repository of approved responses, and/or seeking subject matter expert (SME) advice to craft responses not available in the repository.
  • Triage inbound requests determine level of effort, critical path dependencies, resource requirements and priority in the queue.
  • Review response package and ensure accuracy / quality / adherence to guidelines.
  • Create and manage project folders and repositories, create and communicate cross-functional response plans, assignments and timelines, assuring that request owners and response teams are synchronized.
  • Maintain the repository of submitted RFPs as well as organized database of approved answers.
  • Works closely with the following cross-functional teams to ensure that all responses, documents and knowledge base records incorporate and are compliant with:
    • Product Marketing, Branding and Competitive Intelligence/Positioning teams
    • IT Risk & Compliance security regarding policies and procedures.
    • Human Resources and Legal regarding policies and procedures.
    • Technical Subject Matter Experts on various teams
  • Organize and facilitate cross-functional meetings and project communications to ensure timeliness in responses and proposals.
  • Use workflow, knowledge base tools, and document libraries to create and package the response.
  • Submit completed responses to prospects and clients via hard copies, email, online portals and file sharing tools.
  • Complete required technical training and compliance courses.

Who you are:

  • Bachelor’s Degree with 5+ years of relevant experience 
  • Demonstrated capability to write clear, logical, and persuasive documents; both technical and non-technical in nature
  • Experience with an RFP management tool
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) and Adobe Acrobat 
  • Able to successfully manage to strict deadlines
  • Extremely organized and detailed oriented
  • Ability to manage, prioritize and execute on multiple objectives and projects
  • Ability to self-manage and self-teach while demonstrating an openness and willingness to learn, take direction and be flexible
  • Basic knowledge of SaaS based software, information technology, and business operations 
  • Experience with the following are strongly preferred:
    • RFPIO
    • Supporting a sales organization
    • Designing and implementing an RFP response process
    • Defining, managing and maintaining knowledge bases
    • State & Local Government RFP responses
