The role of the Junior Executive Assistant is to provide a variety of administrative support functions with the highest level of accuracy and ensuring all activities happen seamlessly, flawlessly, and in an exemplary fashion, across multiple departments in the organization

Responsibilities:

  • Support internal and external meeting requests
  • Provide the highest level of support, including calendar management, to ensure seamless coverage at all times
  • Assist in meeting preparation, including:
    • Scheduling in Outlook
    • Setting up dial-ins and video conferences
    • Printing/distributing meeting materials
    • Ordering food
    • Thinking ahead to ensure meetings are smooth and well-organized
  • Prepare business expense reports in an accurate and timely manner
  • Coordinate travel with internal/external parties and travel agency
    • Support the planning of complex meetings, calls and travel arrangements - including domestic and international travel – with the ability to juggle constantly changing agendas
  • Communicate clearly and succinctly in both verbal and written exchanges with a professional and customer service mindset, including exchanges with sophisticated high-profile investors, prospects, vendors, and contacts
  • Ensure conference rooms and other needed resources are coordinated and reflected in Outlook, including management of team huddle spaces
  • Support the management of conflicting priorities and deliver on the most critical assignments in a timely and efficient manner
  • Assist in interviewing candidates, working with the People Business Partner and Hiring Manager to coordinate the candidate’s interview experience inside and outside of the office
  • Proactively identify methods to increase efficiencies and productivity

Qualifications:

  • 1-2 years of experience in a startup or similar environment with customer service and reliable support skills with the ambition to further develop skills and knowledge.
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • Experience with Outlook & Concur
  • Bachelor’s Degree or equivalent work experience required

Location

On the edge of Charlestown, we are within walking distance to restaurants and bars. The Sullivan Square T and bus stop is also right next door! We are currently working remote/hybrid with the exception of our fantastic Biotrinsic team who work from the office and lab space here.
