Overview

The Receptionist position manages the company’s lobby area. Greets and directs all visitors, including vendors, clients, job candidates and customers. Ensures completion of paperwork, sign-in and security procedures. Handles special administrative projects, as well as overflow work from Office Manager and other departments, as needed. Answer incoming calls and direct appropriately. MS Suite skills are required, as well as Internet research abilities and strong communication skills.

About The Team

The Facilities team is part of the Global Business and Financial Operations organization which is comprised of over 100 employees across the America’s, Europe and Asia.

Responsibilities

* Provide coverage in the reception area for receiving visitors, new hires and guests’ weekdays between 7:30am and 4:30pm

* Maintain a professional presence and lobby area

* Assist visitors and employees with taxis and other local information on hotesl, restaurants, etc.

* Work with Facilities team regarding cleaning needs of lobby, conference rooms and reception areas

* Answering incoming calls on multi-line telephone, route to appropriate individual/department

* Processing of all inbound/outbound mail as well as package distribution as needed

* Reserving and scheduling meetings for executives/staff/small groups.

* Arrange food catering when needed and appropriate set up and clean-up of catering

* Partner with HR on onboarding activity and assisting with new hires

* Receiving, recording and shipping of UPS, FedEx and packages

* Conference room coordination within the Waltham facility

* Assist with inventory, order office & pantry supplies for the 8th floor

* Assist the facilities team with incoming tickets for requests

* Closing out of KACE tickets for terminations, facilities requests finished

* Other duties as required from the Office Manager/Facilities coordinator

Level of Supervision:

Work under specific direction on new tasks/assignments and with some supervision of routine/assigned tasks from the Office Manager

Basic Qualifications

* Pro-active team player, able to prioritize tasks on a rolling basis

* Microsoft Office Suite skills required strong Outlook skills

* Able to perform moderate clerical tasks

* Strong communication and Interpersonal skills

* Familiar with mailroom / post office services as well as arranging other delivery services

* Able to operate general office equipment, occasional light lifting

* Experience with audio-visual equipment

* Able to multi-task in a fast paced team/environment with the facilities department

* Professional, pleasant business demeanor

* Flexible with respect to overtime when required

* Organized and able to multi-task

* Reliable, prompt, detail oriented, respectful of confidential matters

* Educational Level Required: Associate’s Degree or equivalent work experience

Minimum Years and Kind of Work Experience: 3 years of experience as a receptionist

Desired Qualifications

Must maintain regular and acceptable attendance and punctuality in arrival/departure times; Flexible schedule for arriving early or staying late when requested
