Receptionist/Office Administrator Job description
As a receptionist/administrative assistant you will be the first point of contact for the company. You will handle the flow of visitors, employees, contractors and ensure that all receptionist responsibilities are completed accurately and delivered with professionalism in a timely manner. You will provide administrative support across the organization
Responsibilities
- Greeting visitors and directing them appropriately
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Pickup and sort daily mail and deliver to appropriate desk/office
- Direct all deliveries to the lab
- Answer employees inquiries on general office topics such as location of supplies, how to book conference rooms, etc
- Manage all company catering responsibilities such as ordering, setting up and clearing up.
- Ordering food for all company meetings and employee luncheons
- Ordering snacks, drinks, perishable items for the kitchen
- Work directly with food and coffee vendors to maintain kitchen supplies
- Stock the kitchen daily
- Provide scheduling and calendar assistance for management
- Manage Fedex through Mercury ship on an as needed basis
- Ordering supplies, maintaining, and keeping track of inventory of Copy/Print Room
- Booking travel through company travel agency for remote executives
Requirements
- Proven working experience in similar roles
- Proficient with Microsoft Office Suite
- Professional appearance
- No task too big or too small attitude
- Solid communication skills both written and verbal
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to organize, multitask, prioritize and work under pressure
- Associate or Bachelor’s degree
