Office Administrator
Smartsheet is looking for an effective and adaptable Office Administrator to provide administrative support to the growing team at Smartsheet. The successful candidate will be collaborative, positive, and able to support a fast paced environment. Critical thinking and organization skills are crucial. An independent, driven individual will thrive in this position. This essential role is part of the Office Operations Team and will report directly to the Office and Facility Manager in our Boston, MA Office.
Responsibilities
- Proactively manage office and facility matters by reporting/solving for issues in a timely manner
- Assist with employee inquiries and requests through the HappyFox ticketing system
- Manage office supply inventory and place necessary orders while maintaining budgets
- Maintain the organization and cleanliness of common spaces, kitchens, and supply closets
- Coordinate with office vendors and maintain relationships to ensure office program success
- Assist in planning and set up for all-office events and meetings such as Quarterly All Hands
- Support office meeting services, including catering order fulfillment, conference room
scheduling, and meeting setups and breakdowns as required
- Review calendars daily and solve for conflicts, provide assistance for last minute meeting requests
- Be a knowledgeable and helpful resource for our employee base and direct team, providing an outstanding employee experience in all interactions
- Provide regular daily coverage for reception during breaks, lunches and as otherwise needed
- Additional executive and office support as needed
Qualifications
- 2+ years of relevant experience in an Office Administrator or similar role
- Ability to identify and resolve problems in a timely manner, gather and analyze information skillfully
- Exceptional organization, interpersonal, and communication skills, as well as attention to detail and follow through
- Strong decision-making skills and an ability to communicate decisions with confidence and professionalism
- Ability to work independently as well as in a team environment while demonstrating good judgment
- Comfortable with shifting priorities and frequent change in a sometimes high pressure environment
- Ability to maintain schedule flexibility depending on needs of office and team
- High School Diploma or GED required
- Proficient with Google Mail and Calendar
- Proficient with Google Drive, Doc, and Slides as well as Microsoft PowerPoint
