Smartsheet is looking for an IT Operations Specialist with a solid technical background combined with strong understanding of asset management processes and procedures. This role will maintain Smartsheet's global hardware asset footprint.

This role is based out of our Boston office, and you will report to our Director of IT Infrastructure.

 

You Will:

  • Perform daily management of IT hardware assets (Move, Add, Change) in our asset management system.
  • Process Service Requests for hardware requests.
  • Communicate with Corporate A/P and Procurement teams regarding the PO and invoice process for all purchases of IT assets and equipment consumables.
  • Work with vendors to identify pricing and availability, resolve discrepancies, expedite orders, and maintain ongoing relations.
  • Partner  with IT and suppliers to identify new products and changes to existing products to be sourced.
  • Ensure the necessary IT hardware products are in stock.
  • Coordinate incoming and outgoing shipments/deliveries and storage of onsite IT hardware.
  • Partner with all departments to ensure IT hardware and software for new employees and exiting employees are coordinated.
  • Produce reports, including compliance reports on current assets and their status; also perform trend analyses.
  • Execute and maintain documentation of procedures, processes, and reports concerning asset and configuration management and adhere to audit standards for SOX, ISO, SOC2.
  • Transmit purchase orders to vendors, and confirm that orders are tracked and have been received on the necessary timeline.
  • Take part in other ITSM processes, or perform as a backup to maintain operational activities.
  • Coordinate with other departments to ensure current service and hardware offerings are up-to-date with departmental needs.
  • Serve as an expert for Software Asset and Hardware Asset management program, process, tools and collaboration across Smartsheet.
  • Work with procurement, IT and key stakeholders to complete enterprise-wide software support renewals ensuring tools deployed are used.
  • Recommend cancelation of unused software or hardware and new applications that replace or enhance existing software.
  • Execute best practices and solutions for Software and Hardware Asset Management programs at Smartsheet.

You Have:

  • 2+ years of experience working with a CMDB and the business services that it supports, and 2+ years of ITSM tool experience (ServiceNow, BMC, Freshservice)
  • Strong knowledge of IT hardware and software
  • Understanding of ITIL methodology
  • Working knowledge of software asset inventory tools (i.e., SCCM, Zylo, Sailpoint, or others)
  • Strong vendor management and communication skills
  • Prefer IAITAM Certification, such as CHAMP, CSAM, and CITAM.
  • Ability to perform assigned tasks independently with little supervision
  • Strong quantitative and problem solving skill set, proficient in Excel (and Smartsheet a plus)
  • Ability to work in-office at Smartsheet
